MAIN PURPOSE

The Executive Assistant will provide support to multiple Richemont Functional Richemont Functional Directors to help them make the best use of their time by dealing with secretarial/administrative tasks daily. He/she will carry out assignments as requested by the Richemont Functional Directors.

KEY RESPONSIBILITIES
  • Calendar management, ensuring the Richemont Functional Directors schedules are up to date and appointments are made accordingly (organize meetings, logistic, etc.)
  • Organize and coordinate business travel itineraries for the Richemont Functional Directors.
  • Submit monthly expense reports and approving expense reports on behalf of the Richemont Functional Directors.
  • Handles day to day administrative matters for the Richemont Functional Directors, such as ordering business cards, holiday greetings, gifts and creating BOS requests, etc.
  • Arranges events where requested by the Richemont Functional Directors (team dinners and events, events with external parties).
  • Organize and coordinate market visits for HQ visitors on behalf of the Richemont Functional Directors and ensure appropriate welcoming of guests.
  • Screen incoming calls, correspondence and respond, independently, when possible and directed.
  • Prepare reports, verbal and/or written correspondence on behalf of the Richemont Functional Directors.
  • Create PowerPoint presentation, ensuring up-to-date templates are used.
  • Prepare documents, templates as needed by the Richemont Functional Directors.
  • Act as custodian of corporate documents and records; setting up SharePoint and OneDrive for each the Richemont Functional Department.
  • Compose and prepare confidential correspondence, reports, and other documents.
  • Manage special projects as requested with the direction of the Richemont Functional Directors.
  • Maintain and perform confidential duties, using a high level of discretion and personal judgment
  • Prepare and send couriers and other necessary mails, etc.
  • Act as key contact between the Richemont Functional Directors and other departments at Regional and International level.
  • Active team player in coordination with the Executive Assistant to CEO where needed (Events, Meetings, Agenda, MEIA Region Communication Strategy).

    Education
    BA's degree or equivalent


Required experience

Minimum of 5 year as Executive Assistant

Experience working in a highly matrix organisation/multi-national environment

Experience working in a fast-paced environment

Experience supporting multiple stakeholders and above

Technical skills / abilities

Fluent in English written and verbal

Excellent PC skills with special emphasis on PowerPoint and Microsoft office
