Job Details
As our business is rapidly growing in both scale and complexity, we are seeking a new Finance & Operations co-ordinator to join our team.
The Finance & Operations co-ordinator is responsible for ensuring the day to day operational procedures and book-keeping of the company is completed on time and to a high standard. This is a key supportive role, working closely with the Finance and Operations managers.
The workload will be split equally between the two teams with a working week typically consisting of the following:
FINANCE:
- Ensure AR and AP ledgers are accurate and reconciled each month with minimum unreconciled amounts on the ledger.
- Ensuring all bank transactions are correctly captured on Xero, allocated and bank accounts reconciled in a timely manner.
- Posting of purchase ledger invoices in a timely manner, working with departments to ensure coding is accurate and invoices are submitted on time.
- Work with the production team to ensure weekly payments in line with cash flow expectations.
- Manage weekly payment run - set up payments for approval.
- Monitor the ‘Accounts’ inbox and ensure all invoices are captured and enquiries receive a response.
- Assist with any ad-hoc duties.
OPERATIONS:
- Updating sales and delivery trackers.
- Monitoring and maintenance of stock, shipments and client profiles on ALEXACHUNG’s ERP system.
- Supporting with shipments and all accompanying paperwork - invoicing, packing list and returns. Making sure HTS codes, COO certification and all other customs requirements are met.
- Communicate with clients and forwarders to arrange collection and dispatch of orders in a timely manner.
- Support the commercial team by arranging deliveries of samples to showrooms.
- Order processing – supporting the wholesale team raising seasonal orders, re-orders and RTV requests on our ERP system.
- Assist with any ad-hoc duties.
MAIN OBJECTIVES:
- Work well under pressure and adhere to tight deadlines
- High level of accuracy and attention to detail
- Help for finance and logistics/wholesales team
REQUIRED PROFILE:
- 2 years of experience in an operational / finance-based role
- Educated to a degree level, a degree in Accounting/Finance is an advantage
- Experience with a CRM or ERP system
- Experience with Xero preferred but not necessary
- Proficiency in MS Office, especially Excel
- Good team player with self-starter attitude and interpersonal skills
