About the role

As Executive Assistant to the President at INTERMIX, you will be responsible for maximizing the President's time and manage daily workflow, including coordinating meetings and assisting with special projects as needed.Through your daily responsibilities, you will act as a liasiaon between the President and all staff, exemplify our brand culture & values, and ensure all departments are kept informed of important company changes.

What you'll do

  • Manage daily workflow of executive, including scheduling appointments, maintaining calendar, telephone, department and group meetings, expense reports, files, travel plans, etc.
  • Provide administrative support for leadership team and executive, including coordinatation of meetings and agendas; assist with presentations and meeting materials, and ensuring executive is prepared with necessary material for all meetings
  • Regularly handle critical and highly sensitive and confidential matters, while maintain professional appearance and acting as a liaison between HR, Leadership team, and all staff
  • Oversee and coordinate all space planning needs of department and partner with Corporate Facilities while maintain inverntory of office equipment, office supplies, purchasing as necessary while managing budget
  • Maintain department organization charts, phone lists, and reporting relationship tool, including consolidating and compiling information for department's resource planning and annual focal review processes
  • Assist and complete special projects as required to increase the professional effectiveness and efficiency of the President and overall team


Who you are

  • Minimum of three to five years administrative experience supporting high-level executive.
  • Exceptional time management and prioritization, organization, problem solving and follow up skills; must be proactive and take initiative.
  • Strong computer skills (Outlook, Excel, Word, Power Point).
  • Strong interpersonal/people skills; ability to establish and build partnerships with all levels of management and business partners.
  • Demonstrate professionalism and ability to maintain highest level of confidentiality. - Excellent communication skills, written and verbal.
  • Ability to be very flexible in reprioritizing near-term accountabilities.
