JOB PURPOSE

A key role within the America's Visual Merchandising team, the VM Coordinator is responsible for all administrative tasks, team organization, and ways of working. The candidate is required to possess strong interpersonal, communication, and organization skills as well as a solution orientated approach to the department. They must be able to work independently while understanding the full strategic vision of the brand, displaying agility and flexibility to achieve results, and have the ability to think strategically and innovatively in a fast-paced environment.

RESPONSIBILITIES

o Ensure all Americas VM public platforms are consistently updated providing ongoing VM information to 73 retail locations across Canada, USA, Brazil and Mexico.
o Partner closely with Head Office in London to develop and communicate new ways of working to the VM field team.
o Create, maintain, and organize field departmental files (window and interior photos, store reports, travel calendar, project calendar) on current platforms (Teams and Sharepoint).
o Supporting the Director with calendar management, preparing documents for meetings, and daily field or central requests.
o Create and maintain presentations and documents in coordination with corporate team members (photo presentations, project proposals, floorplan reviews, etc) to provide to central or senior leadership teams.
o Communicate general department documents and manage follow up by generating reminders in order to effectively meet deadlines.
o Assist and track the Americas's budget: Submitting POs in timely manner, working with internal and external partners to ensure all POs are paid, and ensure budget tracker is up to date at all times.
o Coordination and oversight of internal and external meetings: scheduling, preparing meeting materials, communicating agendas and recording minutes.
o Review operating practices and procedures to determine whether improvements can be made to increase professional effectiveness and efficiency of the entire team.
o Create, maintain, and organize corporate departmental documents (organization chart, team contact list, roles chart, project calendar, etc).
o Liaise closely with various cross functional partners (Architecture, Facilities, Events, IT, etc.) and provide VM support where needed.
o Supporting the on-boarding and current requests of team members by leveraging appropriate processes and
o partners, including all IT and HR administration.
o Support with daily departmental needs: coordinating messenger services, managing incoming requests to determine their importance and plan their distribution.
o Build agendas and make travel arrangements for store visits, global markets, and team offsites.
o Assist as needed with special projects in the corporate office and NY field area including overnight shifts (store events, visual setups, project proposals).
o Regularly handle critical, highly sensitive information, and confidential matters.

PERSONAL PROFILE

Strong organization, time management, and communication skills with an emphasis on attention to detail.
• Ability to efficiently multitask in a fast-paced environment with deadlines and demonstrate sense of urgency.
• Confident, with interpersonal skills in developing partnerships with levels of management and the ability to be proactive and problem solve.
• Flexibility to work a Retail schedule including working late nights, early mornings, weekends and holidays when required.
• Basic understanding of Visual Merchandising.
• Proficient in: Microsoft Office (Adobe Creative Suites is also preferred).
• Experience of working in fashion, retail or art environments.
• Ability to travel internationally.
