HOW WILL YOU MAKE AN IMPACT?

To provide personal assistance and administrative support to the Directors, Member of the ExCo of Alfred Dunhill: Chief Supply Chain and PD Officer, Chief Brand Officer, Chief Financial Officer, Director of Digital & Wholesale & Western reg GM, Human Resources Director, Finance Director

Personal Assistance to Directors:
  • Management of Director's calendars, ensuring that they are aligned with business priorities, that meetings run to schedule and interruptions are kept to a minimum
  • Act as a gatekeeper of the Director's through the screening of phone calls, enquiries, and requests - where appropriate handle the requests to allow the Director's to meet their daily and long-term objectives
  • Support the Director's in written correspondence and in the creation of PowerPoint presentations
  • Coordination of global travel agendas, ensuring that the Director's meet key stakeholders (long and short haul, often multi-destination)
  • Coordinate travel arrangements: Liaise with multiple stakeholders including; travel agency, embassies, hotels, and global Richemont brands
  • Ensure that the Director's travel is approved by the CEO and submit Director's expenses
  • Ensure internal documents are passed to the Directors in a timely manner for approval, whilst liaising with all departments to arrange collection of the documents
  • Ensure external contracts are passed to the Directors in a timely manner for approval - liaise with Richemont Legal for approval if required
  • Liaising confidentially with internal staff and external clients/suppliers at all levels on behalf of the Director's
  • Meet and greet all visitors into the department, at all levels of seniority, as necessary
  • Organise VIP meetings - liaise with high-profile stakeholders and various internal and external teams to ensure that the delivery is seamless
  • Undertake general errands, as required e.g. arranging couriers etc.
  • Management of corporate credit card (documentation, creation of profile etc.) and main contact with the travel company


General Administration:
  • To undertake general administrative support for the Directors
  • Create purchase orders and track invoice payment using SAP
  • Co-ordinate travel/accommodation for Directors
  • Maintain and create effective filing and administrative systems.
  • Collect and report sickness data to HR department in a timely manner for the above teams
  • Arrange catering for meetings/department events when required


HOW WILL YOU EXPERIENCE SUCCESS WITH US?
  • Proven and significant experience at executive level
  • Intermediate level in Excel and fast typing skills
  • Advanced Word & PowerPoint capability
  • Experience of Lotus Notes or similar email system, including diary management
  • A high standard of written communication, English grammar and spelling
  • Strong and efficient organisational skills - excellent attention to detail and accuracy
  • Ability to communicate clearly at all level and pre-empt any challenges
  • High level of flexibility, energy and commitment
  • Proactive with ability to juggle many tasks
  • High level of discretion and confidentiality
