We are seeking a skilled Business Coordinator to undertake a variety of day-to-day company and administrative tasks. You will be an integral part in ensuring that our business operations run smoothly and are successful in supporting other business activities across our lean, but growing media focused team. An excellent business coordinator is, above all, an organized and competent professional with phenomenal communication skills and digital savvy. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed.

The goal is to ensure that our overall operations are efficient and add maximum value to the organization.

 

Responsibilities

  • Follow company workflow procedures to ensure maximum efficiency
  • Maintain files and records with effective organizational systems
  • Support other teams with various administrative tasks (creating meeting agendas, disseminating correspondence, scheduling meetings etc.)
  • Manage and handle all company contracts (vendors, advertisers and clients, new hires)
  • Support our bookkeeping and accounting system
  • Coordinate multiple marketing initiatives and projects between editorial and business teams
  • Maintain calendars, delivery timelines, project deadlines to insure excellent customer service and efficiency.

Qualifications:

  • Bachelor's degree, preferably with business or marketing focus, or equivalent experience-- Executive assistant experience is a huge plus 
  • Exposure and/or professional experience in culture, luxury, fashion markets, media
  • Familiarity with digital content/publishing, brand partnerships and more
  • Added plus: knowledge of the China market and Chinese social media landscape
  • Excellent verbal communication and presentation skills
  • Strong experience in MS Office, Keynote, Google Suite (sheets, docs, presentations) and other productivity software
  • Ability to handle emails and introductions for executive communications 
  • Superior listening skills with the ability to summarize information and relay back when needed
  • Ability to ask upfront questions to understand needs of external clients
  • Excellent track record of following up and respectful attitude
  • High degree of professionalism, with a confident, assertive style.
  • Strong desire to succeed; self-motivated; self-starter
  • Strong collaborative and team building skills
  • Effective at time management skills as well as delegating time on behalf of others as needed
