Overview

Reporting to the Office Manager, the Office Assistant will be a major support in the smooth running of all Stella McCartney offices in the UK. Assisting the Office Manager in providing comprehensive management of UK offices, as well as supporting the London receptionist team and the Facilities team.

Your Mission

    • Assist the Office Manager performing general office duties and errands including approving, logging and monitoring office access.
    • Updating the building access system, including creation of access cards, assigning alarm codes and maintaining associated logs.
    • Managing the supply of office and cleaning supplies.
    • Booking and assisting contractors, ensuring compliance with regulations and H&S standards.
    • Carrying out daily office walks to ensure standards are maintained, both by staff and service providers.
    • Monitoring and implementing H&S procedures in the offices and storage facilities, including compliance checks, tests and maintenance.
    • Keeping the Office Manual and Reception Hub up-to-date at all times.
    • Assisting with various administrative tasks.
    • Managing Clothing Allowance deliveries and distribution.
    • Supporting Reception in completing their duties and covering wherever necessary.
    • Act as key holder and emergency contact for London offices and storage units, responding appropriately to emergencies or urgent issues
    • Coordinating warehouse access for departments within UK Head Office, assisting with furniture, material and equipment moves, deliveries and collections.
    • Assisting with the set up of company events held on the premises, including organising deliveries and collections and acting as point of contact when required.
    • Maintaining the VIP kitchen, ensuring it is always stocked and clean.


Your Talent

    • Flexible with a hands-on work ethic.
    • Computer literate, including excellent knowledge of Microsoft packages (Word, Excel & PowerPoint).
    • Previous experience of a similar role where they have been required to prioritise and multi-task various and competing demands.
    • A good communicator with the ability to interface regularly with internal and external personnel at all levels.
    • Ability to be discrete, confidential and reliable always
    • A self-started that actively looks for potential improvements and is proactive in finding solutions
