Overview:

The A/P Specialist is to serve as a member of the Finance team to ensure the accurate invoice processing and integral expense reporting.

The main responsibilities are to assist in all accounting aspects of all cost centers. Duties include maintaining complete and accurate records for all Accounts Payable functions, expense analysis, month-end reporting, and any other related responsibilities requested by upper management.

The A/P Specialist will also work closely with all operational teams, as well as management, to understand any significant cost variances to Budget/Forecast. He or she will also assist in all planning activities helping to drive the bi-annual budget process.

Your Mission:

    • Act as a main point of contact for vendors and manage vendor relationships
    • Review vendor invoices and payment terms to ensure proper coding, authorization and budgetary approval in adherence to company policy
    • Enter and code invoices into accounting system
    • Prepare weekly payment proposals and enter payments into accounting and banking systems; Process transactions with different payment methods and currencies.
    • Reconcile vendor statements and resolve discrepancies
    • Maintain complete and accurate vendor files with most recent W9 and banking details
    • Keep records for 1099 vendors
    • Prepare periodic expense analysis
    • Provide guidance to Budget holders in terms of expenses and closely work with them to control costs
    • Prepare month-end accruals and propose journal entries
    • Perform ME reconciliation of A/P, prepaid schedules and payment register
    • Ensure S&U tax rate correctness charged on vendors invoices
    • Keep track of invoices, where S&U tax was not charged on.
    • Provide necessary analytical support to the business (adhoc)
    • Work on special projects as assigned (adhoc)
    • Serve as a back-up to the other Staff Accountant
    • Serve as a financial resource for all operational teams
    • Prepare requested data and/or sampling requests for internal and external auditor


Your Talent:

    • Solid understanding of A/P process and its impact on Financial statements.
    • Confident in managing all aspects of the accounts payable, and A/P reconciliations
    • Prior exposure to Month end process required
    • Good math, writing and communication skills with a high degree of accuracy and attention to details
    • Self-starter with the ability to multi-task, organize and manage own workload.
    • A pro-active, reliable team player with strong work ethic thriving in faced paced environment.
    • Ability to work effectively under pressure and strict deadlines
    • Experience in luxury retail and/or wholesale is desirable


Systems & Essentials:

    • Intermediate skills in Microsoft Excel (V-lookup, pivot tables)
    • Previous SAP experience a plus
    • M3 experience a plus
