Job Details

Wales Bonner is looking for a dynamic and committed Executive Assistant to support our Founder and Creative Director based in London.  

We are looking for someone who is discreet, eloquent and detail-oriented, who is able to multi-task and continuously adapt and improve organisational systems to ensure the Founders professional efficiency and personal wellbeing are optimised.  The role also encompasses Office Management and the ideal candidate will serve as a reliable foundation for our small but ambitious company, providing a calm and positive influence in realising organisational harmony. 

 

Responsibilities: 

Office Management 

  • Take pride in maintaining a beautiful, tidy and well organised studio environment
  • Maintain stock of refreshments and studio supplies 
  • Proactive support of staff wellbeing: organise away days, celebrations, workshops and offer ad hoc organisational support
  • HR outreach and end to end management of interview process
  • Establish and maintain Company Contact Database
  • Maintain good physical and electronic filing systems, ensuring processes and systems are optimal 
  • Organise courier shipments and mail 

 

Executive Assistant

  • Inbox Management 
  • Draft eloquent and timely email correspondence with discretion 
  • Diary Management: Coordinate meetings across time zones, responding to changing schedules and priorities
  • Coordinate travel and accommodation arrangements for domestic and international travel and ensure detailed itineraries for the Creative Director
  • Personal Assistance for Creative Director: orders and returns, gifting, reservations, errands, research and ad hoc requests
  • Ensure Creative Director’s schedule runs smoothly throughout the day 
  • Meeting preparation, drafting and circulating meeting notes
  • Invoice Management and expense reconciliation
  • Preparation of supporting documents for talks and presentations 
  • Ad hoc copywriting and editing 
  • Ad hoc Project Management 
  • Support PR team in preparation for interviews, talks and personal appearances
  • General administrative duties

 

Required Skills 

  • Exceptional interpersonal, verbal and written communication skills.
  • Highly organised, flexible and have excellent attention to detail
  • Ability to define priorities at any given moment, ensure deadlines are met, questions are answered, and requests are addressed proactively and promptly. 
  • Calm under pressure, willing to be ‘hands on’ to get the job done 
  • Confidentiality, discretion and judgement.
  • A positive attitude and natural ability to implement processes and systems from scratch to improve work efficiency, productivity and optimise work environment
  • Proficient in Google Suite and Microsoft Office

About the Founder

Grace Wales Bonner launched her eponymous label in 2014, following her graduation from Central Saint Martins. Alongside her work at Wales Bonner, she has consulted and collaborated with brands including Dior, Adidas and Manolo Blahnik. Wales Bonner is an Associate Lecture at Central Saint Martins and currently serves as the Head of Fashion at the University of Applied Arts Vienna. 

In January 2019, Grace Wales Bonner presented her first institutional exhibition, A Time for New Dreams at London’s Serpentine Galleries. While she sees herself primarily as a researcher, her expansive multidisciplinary practice extends to include curation, filmmaking and publishing.

Receiving wide recognition, Wales Bonner has also presented at the Serpentine Gallery, the Victoria and Albert Museum and the ICA. Wales Bonner’s vision extends to film, publishing and music collaborations, opening up a rich dialogue and expansive, multidisciplinary practice.
