Job mission

To ensure our Maison facilities management, maintaining a secure and well-functioning work environment according to local legislation, technical assets and business needs. Be the referent of Health & Safety for the OTB Group companies in France.

 

Job responsibilities and activities

  • Manage regular and exceptional maintenance of equipment and internal systems dealing with corporate and local providers (e.g. heating & electrical system, alarms, security cameras, fire equipment’s…)
  • Check site spaces with relevant furniture to identify needs for repairs or renovations
  • Manage and restock supplies for offices, stores and common spaces (restrooms, kitchen…)
  • Design and oversee the schedule for cleaning, disinfecting and all relevant activities in all sites
  • Ensure a proper management of proper waste disposal and recycling
  • Manage minor malfunctions in office equipment
  • Collect and review or update all the technical and legal documents of the buildings of the company in France
  • Organize and feed the archive of all the documents and of the maintenance reporting (digital platforms to develop or feed)
  • Communicate in a regular base with the Group Facilities team and collaborate with the Group purchase office
  • Manage the budget and keep track of regular and ad-hoc facility and Health & Safety expenses and manage purchase orders
  • Create and follow in a proactive way all the concerned budget with the financial team
  • Conduct market research and compare costs and benefits when evaluating new vendors in collaboration with the financial department and the Group Purchase office
  • Ensure compliance with local, technical, health and safety regulations in partnership with the relevant people and prepare/propose actions when needed.
  • Supports business management with Health & Safety policy and guidelines and manage the implementation and updates of the Health & Safety norms
  • Coordinates both internal and external HSE audits and the mandatory medicine activity
  • Coordinates compulsory HSE training
  • Participates in the local CSE

 

Skills and experience

  • Work experience as site manager and Health & Safety manager or similar role
  • Educational background in Engineering, Architecture or Technical school
  • Strong knowledge of facilities management operations (in retail or fashion Industry is a plus)
  • Familiarity with office equipment and security systems
  • Hands on experience with facilities management software is a plus
  • Knowledge and daily information from governmental network of Health & Safety regulations
  • Ability to think and act quickly during emergencies and to cope with multiple tasks
  • Basic drawings software
  • English & Italian speaking
