The Role:

We are looking for a Workplace Coordinator for our New York Office. This role will be supporting the local employees in operating and maintaining the office while working with a global team to deliver a workplace experience and environment that is safe, supportive, consistent and inclusive. You’ll be comfortable working autonomously and managing conflicting priorities in a fast paced environment while also collaborating with and providing onsite support to our internal operations teams. 

This role is vital in promoting culture, you will create and elevate programs and amenities that make employees love coming to work every day. Must have a passion for supporting and maintaining a workplace that inspires staff to do their best work.

Responsibilities:

  • Deliver a global workplace experience and environment that is safe, supportive, empowered, consistent and inclusive.
  • You’ll be the first point of contact for all employees & guests that walk through Depop’s front door. You’ll be making all feel welcome and be on hand to guide visitors through the sign in process. 
  • Manage deliveries, ensuring that parcels are collected swiftly. 
  • Facilitate the workplace experience program, finding exciting and innovative ways to delight our people with relevant and regular surprises and events. 
  • Manage the food and beverage program in line with the Depop ethos. Ordering catering and office supplies and ensuring kitchen and stationary cupboards are fully stocked.
  • Team support for all company meetings and internal events (calendar bookings, meeting rooms, catering, space preparation).
  • Supporting Workplace Manager/Workplace Project Manager on moves, adds and changes and large projects within the New York office. 
  • Own the facilities function for the office and competently handle any facilities issues that arise
  • Manage planned preventative maintenance and health & safety calendar, ensuring we are kept up to date with compliance legislation.
  • Manage third party vendors including building management. Coordinate with accounts and legal teams to ensure payment and compliance.
  • Work with cleaners and contractors to maintain a high standard of cleanliness, organisation and safety in the office to ensure our space is functional for all employees.
  • Team support for all company meetings and internal events (calendar bookings, meeting rooms, catering, space preparation).
  • Respond to and update service desk tickets.
  • Maintain Workplace knowledge management systems including tracking the office Operating Expense (OPEX) budget
  • Be the main point of contact for the US team in the on and offboarding processes, coordinating with our IT and people teams to ensure induction and training for joiners goes smoothly.
  • Provide onsite support to our London based internal operations teams.
  • Represent the Depop DNA and pillars in maintaining a great working environment for our people.

Requirements:

  • At least 2 years of experience as an office coordinator or similar role dealing with employee experience and vendors.
  • Experience of maintaining health and safety, contractors and facilities issues. 
  • Pragmatic problem solving skills.
  • A dedicated organiser and multi-tasker, you love making lists, ticking things off them even more and can balance multiple competing priorities effortlessly.
  • A confident and collaborative self starter with initiative.
  • A very sunny disposition is required and a great sense of humour is a plus.
  • Excellent and innovative communicator. You love to create engaging workplace comms whether they are to be shared via Email, Slack or Direct Message.
