Where the Executive Assistant fits:

The successful candidate will support Directors in executing business goals, as well as assisting with administrative and strategic plans which may include other business opportunities. You will work extremely closely with our Managing Director, supporting a variety of tasks to assist and make best use of their time. This is an integral role within MERABI and you’d have awareness of every element of the business, working closely with senior management to provide executive administrative support. 

You’ll support a range of administrative tasks including organising meetings, diaries and agendas, along with note taking and coordinating all recruitment for the business from getting job profiles live, holding interviews and onboarding new team members. You will also support training and development programmes for the team whilst being a champion of the culture within the business. 

You’ll also be responsible for building and managing relationships with all our stakeholders and supporting financial administration when required. This is a really senior position and you’ll be required to exercise independent judgment and considerable initiative to support the Directors and our growing business. 


Roles & Responsibilities: 

- Support the MD in executing business goals, as well as assisting with administrative and strategic plans.
- Manage and coordinate spreadsheets, action trackers and support with project management.
Coordinate recruitment for the business  from getting job profiles live, holding interviews and onboarding new team members.
- Take phone calls, enquiries and requests, and handle them appropriately and meet and greet visitors at all levels of seniority for the MD. 
- Coordinate meetings throughout the business including creating agendas and taking meeting minutes.
- Be a champion of the culture and standards of the business
- Assist in the management of team communications and other team management activities
- Build relationships with internal / external stakeholders for the business. 
- Provide administrative support to all senior management. 
- Arrange travel and accommodation and keep records of travel expenses.
- Organise and maintain diaries and make appointments for the MD.
- To assist in the running of the office and with team support and facility management. 


Skills & Experience:

- Ideally 5+ years in an executive assistant role. 
- A people person who is great at building commercial relationships with excellent negotiation skills.
- Excellent communication skills - both written and verbally.
- Demonstrates patience and ability to work though situations with problem solving skills
- Extremely high attention to detail
- Strong excel skills
- A strategic and commercial mind-set with the ability to forward plan and find creative solutions.
- Highly organised with strong time management skills and the ability to cope with several projects at once
