JOB SUMMARY

JOB SUMMARY
This role is responsible for scheduling and coordinating all outbound shipments for Domestic/International and Retail/Wholesale Freight. The clerk will be responsible for creating shipments/loads and preparing all necessary documents, maintaining shipping files, providing tracking, and/or shipping history when needed, and finally ensuring orders/cartons are shipped in timely manner. This position will also liaise with our Import/Export team In NY on all International shipments and documents.

JOB DESCRIPTION

RESPONSIBILITIES

Focus Area #1: Oversee routing process ensuring that all functions are met in fulfillment of shipments:
  • Run all open pick ticket reports to be sure all cartons are shipped before cancel date
  • Keep warehouse staff aware of all prioritized shipments daily
  • Create shipments/loads and prepare documents for all outbound shipments ie: BOL, Manifests, Packing Lists, Invoices
  • Contact carriers for shipments that are ready to be arranged for pick-up
  • Ensure all shipments and targets are met for end of month sales
  • Start/cancel dates
  • Rushes
  • Trouble shooting loads
  • Routing site issues
  • Fulfillment of equipment needs and/or issues
  • Appointments
  • Invoices and documentation
  • Volume load collaboration and set-up
  • EDI/ASN conflicts/resolution
  • Process shipments shipping via FedEx, DHL, and UPS to move goods and provide warehouse team with shipping labels and documents.
  • Freight expense/classification
  • Routing guide changes/upgrades
  • New accounts
  • Liaison between outbound Ops and carriers/customer logistics team


Focus Area #2: Work with CS and Sales on issues affecting pick-tickets, POs, accounts discrepancies, shipments:
  • PO availability and issues
  • Issues with customer addresses
  • Ship via upgrades
  • Invoices and documentation
  • Transit time on priorities/accounts
  • Start/cancel date issues
  • Rushes
  • EDI/ASN conflicts/resolution
  • New accounts
  • Routing guide changes/upgrades
  • Liaison between shipping, Gaso, Sales, Carriers, Customer logistics teams


Focus Area #3: INTERNATIONAL COLLABORATION
  • Collaborate and communicate with Import/Export team daily regarding International shipments ready to be transported.
  • Provide updates to team advising on units picked up by Carriers and Pool destinations
  • Maintain copies of files for our records and provide copies for truck drivers and building security.
  • Update share-drive daily with all shipped BOLs; maintain folder updated for AR/Sales research compliance
  • Able to work with and collaborate with TB customer service/sales
  • Maintain strong working relationship with customers on a daily basis
  • Work with and assist A/P and A/R on claims for both retail and wholesale customers
  • Research retail/wholesale shipments and provide claims and POD information to HQ


ADDITIONAL RESPONSIBILITIES NOT COVERED IN FOCUS AREAS
  • Work on projects as assigned by Management.
  • Provide daily updates to Management.


EDUCATION & PRIOR EXPERIENCE NEEDED

  • H.S. Diploma required
  • Knowledge of Vendor Compliance Routing guides and requirements.
  • Prior experience with Domestic and International document preparation.
  • Wholesale shipping experience required
  • Must possess strong Computer and Communications skills
  • Must exhibit a keen attention to detail and analytical abilities
