Job Details

The office administrator position is a hands-on job that is directly responsible for the day-to-day management of the office and ensuring it runs smoothly while helping maintain our positive company culture. The ideal candidate must be flexible, organized, proactive and reliable.

The responsibilities associated with this position are not limited to the duties described and may be modified at any time. 

  • Responsible for the headquarters (HQ) front desk, Manage reception area, greet all visitors and assist them when required
  • Responsible for the maintenance of the building including liaising with subcontractors and suppliers
  • Ordering and maintaining office supplies. 
  • Coordinating with IT on all technology services 
  • Supporting with all health and safety requirements for the business
  • Assists with team projects and events as needed (offsites, team building activities, etc.)
  • Keep team documents and meeting agendas up to date and organized
  • Keeping the office clean and organized to promote an efficient working environment
  • Support in HR management and Internship Management : Serve as the main "go-to" person for a rapidly growing team and help wherever necessary
  • Manage ingoing and outgoing shipments and deliveries and monitoring status
  • Organize and plan travel logistics as needed 
  • Prepares and processes purchasing card and expense reports in accordance with office policy guidelines
  • Identifying continually where improvements and efficiencies can be made throughout the business
  • Assisting in sanitation maintenance and trash disposal for all floors

  • Ability to work effectively with cross functional teams.
  • A natural tendency to be well organised, and able to multitask and prioritise effectively.
  • Close attention to detail
  • Relevant experience managing a studio/office environment strongly preferred
  • Proactive in lending a helping hand across different departments
