JOB SUMMARY

The Administrative Assistant for the Distribution Center (DC) is responsible for supporting administrative and office support activities including, but not limited to, ordering supplies, organizing site events, and supporting efforts around expense management. The Administrative Assistant at the DC is also responsible for representing the Tory Burch brand to all visitors and callers as the receptionist and greeter at the facility.

JOB DESCRIPTION

Administrative Support & Expense Management
  • Provide confidential executive support
  • Work cross functionally as needed to make travel arrangements
  • Organize executive calendars and meeting requests as needed
  • Coordinate ordering of supplies and replenishment of supplies for the office and break areas
  • Work with vendors and code invoices to the system and coordinate services rendered with leadership
  • Track labor expense and communicate with corporate as needed to ensure accurate forecasting
  • Liaison between vendor and A/R when contacted regarding invoice or payment questions
  • Partner with Leadership and Finance to tracking all working and non-working hours and transferring hours across departments
  • Create detailed travel itineraries both domestically and internationally


Receptionist & Greeter
  • Greet and assist visitors and DC Associates
  • Answer phone calls/emails as needed and direct to appropriate people
  • Maintain appearance of front lobby, hallway, and meeting room in Tory Burch aesthetic
  • Maintain polite and professional communication via phone, e-mail, and mail
  • Anticipate the needs of others in order to ensure their seamless and positive experience


Event Coordination:
  • Assist in the preparation and cleanup for meetings, inclusive of food orders and conference room reservations
  • Assist in events planning and events for the DC, including local viewings of the Fashion Shows, Town Halls, and Employee Appreciation Week
  • Work closely with Talent team to coordinate weekly/monthly employee events
  • Help to Plan and coordinate all team off-sites and larger team meetings


EDUCATION & PRIOR EXPERIENCE NEEDED
  • Strong analytical skills and attention to detail
  • Strong verbal and written communication skills
  • Polished and professional
  • Extensive experience in Microsoft Outlook, Excel, PowerPoint, Word
  • Ability to interact professionally with high-level executives on a regular basis
  • Ability to work in a fast paced and dynamic environment
  • Ability to prioritize
  • Excellent follow-up skills
  • Ability to work independently as well as part of a team
  • Extremely resourceful
