We are looking for a Workplace and Facilities Coordinator to join our Dublin Operations team to deliver the best in class workplace and employee experience to the population of Zalando's Dublin tech hub and to contribute to our evolving Employee Experience strategy. As a member of a global Zalando community you will work closely with various central Property and Facilities Management, Safety, Health, and Environmental teams in our parent company in Berlin as well as the other tech hubs.

As a Workplace and Facilities Coordinator in our team, your responsibilities will be -

  • Coordinate Facilities management with an external service provider, including Cleaning, Maintenance, Catering, Security etc.
  • Manage the relationship with the Landlord - be the first point of contact for any topics regarding landlord-owned areas
  • Maintain the office environment, occupancy and space utilisation and minor office fitouts
  • Manage all aspects of Health and Safety (Policies and Procedures, Risk Assessments, Emergency Preparedness, coordinating ergonomic assessments, etc), including safe return to the office post-pandemic
  • Manage the relationship with the mobile network provider (in collaboration with IT Generalist)
  • Maintain and develop key supplier relationships
  • Invoice management for Site Operations
  • Environmental - Utilities and Waste management initiatives
  • Support Operations team on Wellness, Culture & Community and other initiatives
  • Assist in the onboarding process for new employees
  • Take care of other ad hoc duties as needed

You will have:
  • 3-5 years experience in an office management role, including management of a team
  • Thorough knowledge of Health and Safety Authority requirements with respect to facilities management, a qualification would be an advantage
  • Proven ability to manage a wide variety of tasks with the ability to prioritise and develop new opportunities and solutions
  • Excellent communication, negotiation and relationship-building skills
  • Initiative to get things done
  • Experience at process improvement and driving efficiencies
  • Strong organizational and planning skills proven in a fast-paced environment - boredom doesn't get a look in here!
