Job Details
As a Workplace and Facilities Coordinator in our team, your responsibilities will be -
- Coordinate Facilities management with an external service provider, including Cleaning, Maintenance, Catering, Security etc.
- Manage the relationship with the Landlord - be the first point of contact for any topics regarding landlord-owned areas
- Maintain the office environment, occupancy and space utilisation and minor office fitouts
- Manage all aspects of Health and Safety (Policies and Procedures, Risk Assessments, Emergency Preparedness, coordinating ergonomic assessments, etc), including safe return to the office post-pandemic
- Manage the relationship with the mobile network provider (in collaboration with IT Generalist)
- Maintain and develop key supplier relationships
- Invoice management for Site Operations
- Environmental - Utilities and Waste management initiatives
- Support Operations team on Wellness, Culture & Community and other initiatives
- Assist in the onboarding process for new employees
- Take care of other ad hoc duties as needed
You will have:
- 3-5 years experience in an office management role, including management of a team
- Thorough knowledge of Health and Safety Authority requirements with respect to facilities management, a qualification would be an advantage
- Proven ability to manage a wide variety of tasks with the ability to prioritise and develop new opportunities and solutions
- Excellent communication, negotiation and relationship-building skills
- Initiative to get things done
- Experience at process improvement and driving efficiencies
- Strong organizational and planning skills proven in a fast-paced environment - boredom doesn't get a look in here!
