About THE ROLE

The Office Coordinator will be working in collaboration as part of the Facilities Management team on a 12 months FTC, which is made up of a combination of many disciplines that maintain and balance the supply and demand of services, supplies, and equipment for the organisation. This role will be five days a week, Monday to Friday from 8am till 12pm (20 hours a week).The goal is to increase the PVH UK+ organisation's efficiency and support its vital activities.

The PVH Office Coordinator will be the main point of contact for all employees and visitors alike, welcoming upon arrival and directing appropriately in a warm, professional manner. You will be supporting all office functions where necessary as well as supporting the Facilities team to maintain a seamless flow throughout the business in an efficient and timely manner.

The Facilities department plays a pivotal and vital role in ensuring all departments are kept up to date and current in the ever-evolving market. The Facilities department provides the tools to ensure every colleague is ready to go in their day-to-day working environment.

In order to ensure that services are provided in an effective and efficient manner throughout Head Office, responsibilities include:
  • Maintaining a personal and professional standard which reflects the brand.
  • Providing secretarial, clerical and administrative support.
  • Being the first point of contact for all visitors and guests, welcoming and directing to relevant departments.
  • Organising calendars and diaries for meeting rooms.
  • Supporting internally for PA's, visit's and VIP meetings.
  • Booking and maintenance of records of deliveries incoming and outgoing for PVH.
  • Inventory-taking, reconciling cash receipts for expenses for PVH purchases.
  • Answering the main office intercom.
  • Ensuring all visitors are signed in and out accordingly.
  • Ensuring Health & Safety and security rules are adhered to during working hours and evacuations. Conducting Health & Safety walks for new starter inductions.
  • Ensuring records are kept and maintained so that they can be easily retrieved for review when needed by relevant personnel.
  • Sorting and distribution of post and sundries. Replenishing sundries across floors.
  • Escalating any maintenance or IT issues for repair to the Facilities Management,
  • Supporting with Head Office and Retail Travel.
  • Supporting UK Head Office maintenance coordination of records.
  • Managing general administration support for all office functions.
  • Supporting Market Launch, Press Days, and internal and external workshops/ training.
  • Being the onsite Fire Warden and First Aider.

About YOU
  • You'll have 1-2 Years' experience in Office Facilitating or Front of House.
  • You'll be a self-starter with proven ability to work independently or as part of a team.
  • You'll have a positive "can do" attitude, energetic and enthusiastic.
  • You'll be self-motivated and driven.
  • You'll be organised and detail orientated.
  • You'll have excellent communication skills.
  • You'll have the ability to manage multiple priorities.
  • You'll possess working knowledge and experience in Outlook.
