Job Duties:To provides administrative support in assigned areas, e.g. parcel shipments, travel arrangement, office supplies/services procurement, maintenance of office equipment, administer contracts for administrative arrangements, and general administrative support. Please find more details as below:

Office Premise
  • To convey problems to the Management Office for repairing the A.C. system, lighting, lifts & washrooms
  • To work with cleaning company to make sure cleanliness of all the workplace
  • To tour around the office to check the tidiness of workplace and arrange repairing works with contractor/service provider
  • Assist in simple office modifications with fit-out company / contractors

Reception
  • To register visitors and arrange visitor cards
  • To answer incoming calls and switch to appropriate associates
  • Door access card activation control
  • To handle all incoming and outgoing packages (for offices without mailroom clerk)

Office Supplies
  • To manage stock level and replenishment of office supplies, places orders, checks deliveries & dispatch to related teams / associates after deliveries.
  • To follow up with printers for the printing of name cards or other printed matter
  • To arrange stationery and support for new joins

Clerical Support
  • To verify invoices in relation to visa application & office supplies
  • To update the telephone directory, seating plan and floor plan
  • To prepare visa application form, invitation letter, company guarantee letter using pre-defined templates
  • To provide clerical support to renew non-lease contract with travel agent, courier service, car service, A/C, cleaning, etc.
  • To produce simple reports when necessary

Others
  • To work with local travel agent regarding ticketing / hotel issues from associates and visitors
  • To coordinate with the Government offices like Bank, Tax office, etc. for various official activities
  • To render clerical support to Admin Dept
  • To assist in organizing sample sales
  • To assist setting up of event venue, arrange snacks and beverages, guide guests to the venue, etc
  • Any other duties as assigned by manager

Requirements:
  • Associate Degree or above.
  • At least 3 years related working experience.
  • Proficient in Microsoft Excel, Outlook, Word and PowerPoint
  • Good communication in Chinese and English.
  • Expected to work under own initiative, prioritize own work, and meet agreed timescales.

Remarks: 8-month contract with 3rd party.
