The Foundation is actively looking for an AP Clerk; responsibilities include tracking and issuing payments, collecting and booking expense reports, and other duties - as assigned. Therefore, previous experience with Account Payable departments would be an advantage. In addition, a successful AP Clerk should also have experience with various office software (spreadsheets, ERPs, databases, and QuickBooks) and handle special assignments.

Ultimately, the AP Clerk should be able to assist with the smooth running of the Finance Department and help to improve our procedures and day-to-day operation.

        Essential Functions

  • Keeping track of payments and expenditures
  • Reconciling processed work by verifying entries in our systems/databases 
  • Bank reconciliations and Credit card expense reconciliations
  • Tracking, collecting, and booking expense reports
  • Maintaining historical records and transactions
  • Paying vendors by scheduling payments and responding to any inquiries we receive
  • Preparing analyses of accounts and producing monthly reports
  • Support Accounts Receivables with charging orders using Gateway-American Express and Aun.net portals 
  • Monthly credit card order reconciliation for orders 
  • Assist Sales Operations and Sales Department with inquiries regarding invoices and refunds

    Qualifications

  • Knowledge of accounting responsibilities, systems, and procedures
  • Proficiency in QuickBooks, MS Office, and Apple products
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
