JOB PURPOSE

Reporting to the Senior Manager, Community & Influence, this role is responsible for effectively managing the end to end process of the Community and Influence Product Orders. This role will work closely with merchandising, shipping, Goods-in, external vendors and the regions to ensure that the right product is ordered and delivered per brand activation. The role will also be responsible for keeping the budget up to date with all product/shipping related costs and keeping the regions and the team up to date with shipments.

RESPONSIBILITIES

• Place Product orders for Influence and Community through the merchandising and order management teams in a timely manner ahead of all campaign launches.
• Work closely with merchandising and product marketing to understand the key product the team need to be supporting.
• Ensure all regions are updated on the product that they will be receiving by creating a product overview per region for each campaign and keeping them updated with product movements and tracking details.
• Keep the team updated with any potential delays/product issues.
• Responsible for shipping all global influence and community orders out to regions working with external courier companies to book in the shipments and liasing with external courier companies if issues arise.
• Responsible for retrieving all shipping information from PD and order management to ensure all proforma invoices are filled out correctly to ensure smooth send-outs.
• Ensure all send-outs are packaged properly to ensure safe arrival in final destination and according to Goods-Ins regulations

PERSONAL PROFILE

• Highly organised and able to operate within an established process.
• Previous experience in sample management and shipping/product send-outs is desirable.
• Hands on approach.
• Problem-solver and strong attention to detail.
• Good Excel, Powerpoint and Key note skills.
• Previous experience working cross-functionally in a matrix organization would be a plus.
• Flexible, adaptable and able to work in a context of ambiguity and change.
• Strong interpersonal skills with a natural ability to build relationships.
