Job Details
The Role:
We are looking for an Executive & Office Assistant based in our office in East London. The successful candidate will provide support to the M.D. & the wider staff roster. The role would suit someone who is a proactive self-starter, in order to maximise the time and efficiency of the senior team and ensure smooth running of our office operation. Perfect for somebody looking to start a career in fashion.
Responsibilities:
Your duties will include, but are not limited to;
- Assisting the M.D. on a professional & personal level
- Provide daily support to the senior team, including extensive diary management, meeting requests, travel arrangements and reservations
- Provide high quality administrative assistance
- Supporting with meeting preparation when required, including collating information and document layout creation
- Making international travel arrangements including booking flights, accommodation, restaurants, other transport and currency
- Aiding the logistics & accounts team on any ad hoc challenges
- Managing all samples including sample set send outs for sales seasons
- Making sure the office environment operates efficiently controlling office budgets and managing facilities
- Act as the point of contact for all facilities management including liaison with building owners, utility companies and contractors
- Weekly ordering of studio supplies and groceries
- Management of studio expenditure including petty cash, credit card & expenses
- Providing support on studio HR e.g. managing the holiday calendar etc
- Liaising with external I.T. stakeholders to ensure full smoothest possible processes & operations in the studio
- General studio upkeep
Personal duties to the M.D. include:
- Managing personal finances
- Working on domestic management & logistics
- Booking personal appointments
- Ad Hoc duties
Skills required:
- Must be organised, self-managed and motivated to achieve a wide range of tasks
- Previous experience in a similar role within the fashion or creative industries
- Can deal with sensitive matters in a discreet and confidential manner
- Excellent organisational and time management skills
- Good eye for detail, ensuring a high standard of work and presentation
- Strong written and verbal communication
- IT skills – G-suite and Microsoft Office, particularly Excel
