EXECUTIVE ASSISTANT

DOEN IS SEEKING AN EXECUTIVE ASSISTANT TO SUPPORT OUR CEO/CCO. THE IDEAL CANDIDATE IS EXTREMELY ORGANIZED, LOVES HELPING OTHERS, AND THRIVES IN A FAST-PACED ENVIRONMENT. THE EXECUTIVE ASSISTANT MUST BE PROACTIVE AND A CREATIVE PROBLEM-SOLVER WORKING IN A HIGH-GROWTH, ENTREPRENEURIAL ENVIRONMENT. THE IDEAL CANDIDATE HAS THE ABILITY TO EXERCISE GOOD JUDGEMENT, WITH STRONG WRITTEN AND VERBAL COMMUNICATION, ADMINISTRATIVE, AND ORGANIZATIONAL SKILLS, AND THE ABILITY TO MAINTAIN A REALISTIC BALANCE AMONG MULTIPLE COMPETING PRIORITIES. THE EXECUTIVE ASSISTANT WILL HAVE THE ABILITY TO WORK INDEPENDENTLY ON PROJECTS FROM CONCEPTION TO COMPLETION. THE IDEAL CANDIDATE WILL THRIVE WHEN OPERATING UNDER PRESSURE AND WILL BE ABLE TO HANDLE A WIDE VARIETY OF CONFIDENTIAL MATTERS WITH DISCRETION.

RESPONSIBILITIES AND DUTIES:

  • MANAGE BUSINESS AND PERSONAL CALENDAR FOR CEO/ CCO (MEETINGS, TRAVEL & APPOINTMENTS BOTH DOMESTIC AND INTERNATIONAL).
  • MAINTAIN DAY-TO-DAY MEETING SCHEDULE.
  • MANAGE EMAIL, PHONE, AND IN-PERSON COMMUNICATION HANDOFFS WITH PROFESSIONALISM AND EFFICIENCY.
  • FORMAT INFORMATION FOR INTERNAL AND EXTERNAL COMMUNICATION, INCLUDING MEMOS, EMAILS, PRESENTATIONS, AND REPORTS.
  • MANAGE ALL TRAVEL BOOKINGS, INCLUDING VISAS AND PASSPORTS, AS WELL AS ALL TRAVEL-RELATED NEEDS RELATED TO VENDOR VISITS, PR EVENTS, AND PHOTO SHOOTS.
  • MAINTAIN THE HIGHEST LEVEL OF CONFIDENTIALITY IN ALL MATTERS, BUSINESS AND PERSONAL.
  • MANAGE GENERAL INQUIRY MAILBOX.
  • MANAGE POD SCHEDULE FOR HEADQUARTERS OFFICE.
  • ASSIST WITH PREPARATION FOR ON-SITE MEETINGS, INCLUDING ROOM SET-UP, CATERING, PREPPING DIGITAL AND HARDCOPIES OF MEETING MATERIALS, AND TESTING TECH.
  • ATTEND MEETINGS FOR THE PURPOSE OF TAKING MEETING MINUTES AND FOLLOW-UP ON KEY TAKE-AWAYS FROM THE MEETINGS.
  • COMPLETE REPORTS AND DOCUMENTATION FOR CEO/CCO.
  • ASSIST OPERATIONS DEPARTMENT WITH OFFICE MANAGEMENT AS NECESSARY.
  • ORGANIZE AND SUBMIT EXPENSE RECEIPTS PER GUIDELINES FROM FINANCIAL CONTROLLER ON A WEEKLY BASIS.
  • MANAGE ARCHIVING OF SENSITIVE DOCUMENTS, INCLUDING LEASES AND CONTRACTS.
  • MANAGE BUSINESS AND PERSONAL ITEMS, SUCH AS DOCUMENT FILING, BILL RECONCILIATION, ETC.
  • RESEARCH INFORMATION AS NEEDED.
  • MANAGE SPECIAL ORDERS AS REQUESTED BY CEO/CCO, AND MANAGE GIFTING ON BEHALF OF CEO/CCO.
  • COORDINATE SAMPLES AND TRANSPORT OF ITEMS TO AND FROM THE DC
  • PROVIDE PRODUCT FEEDBACK ON AN AS-NEEDED BASIS.
  • MANAGE PRINT ART COPYRIGHT FILING WITH SUPPORT FROM CREATIVE TEAMS.
  • WORK WITH WEB TEAM TO IDENTIFY CASES OF IP INFRINGEMENT AND MAINTAIN AN ARCHIVE OF COMMUNICATION BETWEEN THE DOEN TEAM AND ANY INDIVIDUAL OR COMPANY POTENTIALLY VIOLATING TRADEMARK OR COPYRIGHT OWNERSHIP. MANAGE OUTREACH BETWEEN IP ATTORNEY AND INFRINGING PARTY AS NEEDED.
  • FOLLOW UP ON OPEN ITEMS AS DIRECTED/NEEDED.
  • MANAGE ORDERS FOR SUPPLIES AND TECHNOLOGY ORDERS, INCLUDING ACCOUNT MANAGEMENT.
  • RESOLVE ALL IT ISSUES ON BEHALF OF CEO/CCO
  • PARTNER WITH HR/PR DEPARTMENTS TO COORDINATE COMPANY-WIDE ACTIVITIES AND EVENTS.
  • THE EA ROLE IS TO EVOLVE AND EXPAND ON AN AS NEEDED BASIS.
  • OTHER DUTIES AS ASSIGNED.

 

SKILLS:

  • PROFICIENT COMPUTER SKILLS WITH EXPERIENCE IN MS OFFICE APPLICATIONS, NETSUITE, AND SHOPIFY A PLUS.
  • EXCELLENT ORGANIZATIONAL SKILLS AND ATTENTION TO DETAIL.
  • HIGH LEVEL OF DISCRETION AND EXEMPLARY JUDGEMENT.
  • COMPOSED DEMEANOR IN A FAST-PACED ENVIRONMENT, ABILITY TO MULTITASK.
  • STRONG COMMUNICATION SKILLS, BOTH WRITTEN AND VERBAL; ABILITY TO PROOFREAD.
  • SELF-MOTIVATED, AND ABILITY TO ANTICIPATE EMERGING TASKS.
  • ABILITY TO PRIORITIZE AND BALANCE WORKLOAD BETWEEN SHIFTING DEMANDS AND ROUTINE OFFICE OPERATIONS.
  • DEMONSTRATED SUCCESS IN PLANNING, ORGANIZING, AND COMPLETING PROJECTS.
  • COLLEGE DEGREE IS PREFERRED.
  • 3-5 YEARS OF DEMONSTRATED EXECUTIVE-LEVEL SUPPORT EXPERIENCE PREFERRED.
  • ABILITY TO PARTICIPATE AS A TEAM-MEMBER AS WELL AS A LEADER IN A FAST PACED, TEAM-ORIENTED ENVIRONMENT.
