ABOUT THE OFFICE OPERATIONS MANAGER

Within UJUU the Office Operations Department is a dynamic department that necessarily evolves as UJUU continuously matures and further realizes it’s vision. As such, the Office Operations Manager is an equally dynamic role that serves to lead, set the vision, and establish the expectations for one of our most critical departments. Primarily, the Office Operations Department entails the following four areas of oversight:  HQ Office logistics, Event Planning and Showroom Management, Inventory and Warehouse Management, and Returns Processing. 

This opportunity will most resonate with an energetic and outgoing individual that is well-organized, a strong communicator, comfortable designing strategic systems and implementing new office processes and procedures with initiative and forethought. This individual will be adept at wearing multiple hats while managing and directing others to ensure UJUU offices operate as a well-maintained environment of cleanliness, operational efficiency and cohesion. Lastly this individual will be flexible, resourceful, and an initiative driven team player firmly bought into helping realize UJUU’s core mission.

HERE’S WHAT YOU’LL DO IN THIS ROLE:

  • Hire, develop and actively manage direct reports to perform the functions of the Office Operations Department as outlined below:
    HQ Office Logistics
    • Coordinate and facilitate the initiation and maintenance of all facility functions including but not limited to: office equipment, furniture, telephone and internet lines, cable connections, security, HVAC, cleaning services, etc
    • Manage and maintain ongoing relationships and contracts with third party contractors and service providers
    • Establish relationship and liaison with the building management company to communicate UJUU needs and to building management and to  keep UJUU in compliance with updates to building procedures and protocols
    • Work with Finance Department to track spending and oversee the ordering of business office supplies, kitchen supplies and general meeting  supplies
    Event Planning and Showroom Management
    • Ensure the arrangement and organization of office wide events, such as: Employee Celebrations, Company Milestones and Parties, and other initiatives and special projects as requested by company management
    • Coordinate with the respective Marketing Departments to anticipate and understand the needs of planned Office Events
    • Identify showroom team needs and coordinate the addition of third party vendors or outsourced resources as necessary
    • Work with the Finance Department to develop and maintain budget for events 

       

    Inventory and Warehouse Management
    • Maintain and oversee relationship with third party warehouse logistics partners
    • Develop and implement processes and controls to measure and ensure e-commerce fulfillment from warehouse partners
    • Track and communicate key performance indicators, KPIs, around fulfillment to company management 

       

    Returns Processing
    • Design and implement processes to manage and oversee order fulfilment, returns and inventory control procedures
    • Track and communicate key performance indicators, KPIs, around productivity to Direct Reports
    • Manage relationship and service with all postage/freight providers (FedEx, UPS, etc)
    • Oversee processing of all mail, packages, deliveries (both outgoing and incoming)
    • Document and maintain processes for cycle counting to ensure an accurate inventory and reduce the need for full physical inventory

       

ADDITIONAL ROLE INFORMATION:

This role is full time with medical, dental, and vision insurance offered. This role receives a monthly meal stipend for late nights in office in addition to many other company perks and benefits.
