OVERVIEW:

Are you our next Retail Project Manager?
This person will be the main contact and manage the programme of works for the opening and execution of new retail stores across the world. They will be pivotal to our stores being operationally sound, opening on time to budget. They will be working both in a team, cross functionally across GSHQ and independently across different time zones, communicating and negotiating with different people, departments & 3P. Communication, enrolling others, educating and informing are key in this role.

WHAT YOU'LL BE DOING:

  • Creating, owning, and managing the execution of the Retail Critical Path, ensuring all projects relating to retail are owned, defined, tracked, managed within timescale, key milestones are hit and risks are highlighted by being brought to the attention of relevant stakeholders and action taken. Projects may include store openings & agile retail openings and encompass all projects involved within.
  • Holding stakeholders and partners accountable to hit timescales and milestones, working cross functionally & ensuring others are too. Understanding the interdependencies between each department to push projects forward. This will involve sitting in on key meetings & ensuring minutes/actions/next steps are circulated, or agendas sent ahead of time.
  • Hosts and manages stakeholder meetings ensuring relevant parties are present and enrolled in the objective.
  • Ensuring that decisions relating to the store are made with the best interests of the store/retail keeping customer & team experience and Gymshark IRL at the forefront. Challenging the status quo where required.
  • Communicate updates on a regular basis to relevant parties, key stakeholders, project groups, internal teams. Ensure updates are available as and when required for C Suite.
  • Regularly reports back to & updates the Head of Retail & IRL Director any risks/challenges ahead of time in any given project or workstream that could impact the project/s, equally sharing any learnings where success is being had.
  • Issues regular updates to the retail team, and ensures all / any information / milestones are hit internally as well as uses retail team to work cross functionally with individual department projects
  • Instigating and hosting regular learnings / debrief meetings post project/s to ensure learnings are captured for the business and supporting the feedback culture
  • Reacts to and anticipates the needs to the project, for example increasing / decreasing volume or detail with regards to communication as project progresses.
  • Gatekeeper of workflow to IRL team, ensuring forthcoming deadlines are manageable, clear & prioritised. Highlight key decisions / work required of Head of Retail and IRL Director ahead of time.
  • Building out framework that is suitable for use future store/s with regards to opening critical path, retail team critical path (months pre-opening) labour forecasting or budget tools.
  • Aware of sales forecasts for the stores/s and if needed able to create, adapt or work with such files.
  • Owns budget and structure of the GSHQ retail team and store teams. Keeping Org Charts up to date and moving hiring dates to ensure in line with headcount budget, in relation to pre-opening team costs as well as post open & GSHQ budget.
  • Creating budgets where needed for both retail GSHQ spend or Store/s related spend.
  • Within Store Labour ownership, ensure the store/s schedules are created and programmed with adequate staffing in partnership with Head of Retail / Head of Retail Ops.
  • Responsible for & tracks all department spend and cross-referencing PO's with finance. Ensuring up to date spend is captured and logged accordingly, so snapshots can be provided at any given time. This will involve creating budgets where needed.
  • Represent Retail & Retail Operations during meetings, speaking on behalf of the team/department and utilising retail operations and prior knowledge where required.
  • Hosting walk-throughs of the store/s where required to inform others or gain alignment from working groups. Potential to attend project walk throughs on site/s as and when build starts if required.
  • Administrative tasks such as note taking, agenda setting, diarising meetings where required and/or ensure these are being undertaken by a coordinator role.

WHAT YOU'LL NEED:

  • Confident with changing gears and direction, this is a complex project that is being created whilst executing.
  • Must be able to manage a budget.
  • Exceptional time keeping and time management skills and supporting others with this.
  • Must be meticulously organised.
  • Retail Operations experience, ideally multiples stores/countries and experience at store openings.
  • Project Management experience with large accountability on a similar scale and budgetary responsibility.
  • Ability to travel and work where / when needed if needed.
  • Passionate about retail, people, and customer experiences.
  • Strong communication skills and ability to build relationships both internal and external.
  • Must be able to take and give constructive feedback.
  • Excellent computer skills, competent in excel and project management software.

This role is a 12-month Fixed Term Contract.
