The Team

This role of Inventory & Order Management Specialist is part of the Supply Chain Non Trade department consisting in total of five FTEs and reports directly to the Senior Manager. The Supply Chain team takes care of POS materials (store furnishings, packaging materials, visual merchandise, goods with purchase and occasionally other non-trade goods like printers, etc.) for Calvin Klein Europe, Tommy Hilfiger Europe covering mainly the AMEA region. The department focus is on demand & supply planning, stock purchasing, inventory, order and Logistics Service Provider (3PL) management. The team collaborates closely with the following stakeholders' groups: Store/Shop-In-Shop, Windows, Marketing, Procurement, IT, and Finance.

The Position

This role is mainly responsible for order management, inventory control and system alignment, with numerous process improvement opportunities. Responsibilities are including but not limited to:

Responsibilities:
  • Order management
    • Enter store orders in SAP, permanently resolve master data or technical issues
    • Maintain article pictures
    • Maintain orders in system, and question follow up with customers
    • Share availability issues (stock outs, replacements)
  • 3PL coordination
    • Responsible for daily warehouse operations; first point of contact
    • Ensure smooth operations and understand incident root cause by analyzing incidents and associated data to find what is causing the issue, proposes appropriate actions to avoid repeat incidents
    • Create reports and steer from it: operations dashboard, non-conformity report (weekly reviewed), shipment report (daily distributed to stakeholders)
    • Facilitates regular touch points and weekly operations reviews
  • Inventory control
    • Control inventory reconciliation activities
    • Investigate causes of reconciliation issues and follow up with relevant owners
    • Track and investigate iDoc errors
    • Provide input on any queries related to inventory (end of fiscal year, internal or external audits, etc.)
    • Support / back up stock counts activities (cycling and wall-to-wall)
  • Standard Operating Procedures (SOP)
    • Maintain and review documentation (including processes mapping / workflows); ensure that all processes and procedures operate efficiently (improvements opportunities)
  • Project / incident based
    • SAP key user
    • System testing
    • Input on enhancement & change requests (requirements setting)
  • Planning support
    • Support on the development of the weekly supply plan
  • Backup for Windows logistics activities

You Bring:
  • 2-5 years' experience in a similar/related administrative and analyst role or field
  • MBO+ or HBO level
  • Strong knowledge of Excel
  • Experience with systems SAP
  • Possess general knowledge of order management, customer service and inventory control
  • Highly numerate, data driven analyst with good attention to accuracy; able to provide executive summary
  • Strong with root cause analysis and problem-solving
  • Expertise in driving operational efficiencies & process improvement (knowledge of lean processes or yellow belt certification is a plus)
  • Strong analytical skills, organizational skills
  • Preferably from a multinational fast-paced immature (unstructured) environment
  • The department is undergoing a change, therefore flexibility and logical thinking is required in order to guarantee success in the role
  • Excellent command of English language (written & spoken)
