About the Role

In this role, you will administer the change of status of both Manufacturing and Mill vendors /facilities in the Vendor Profile /SMEE database/ Global Sustainability System. Manage data operations and validation. Prepare and distribute management reports. Oversee the administrative and registration process of Gap Inc.'s Mill Sustainability Program + Vendor Approval Process in accordance with GIS's sourcing policies and Gap Inc.'s Code of Vendor Conduct.

What You'll Do

Customer service and communication (30%)

  • Support Environmental, Social and Governance (ESG), the Sourcing, Corporate and Brands' business partners with the data management of S2/ ESG related initiatives, the new mill vendor/ facility registration and the manufacturing vendor / facility approval request.
  • Maintain ongoing dialogues with relevant internal business partners (ESG/GIS Category/ Mill Management/ QA & etc.) to facilitate the registration of Mill vendors/ facilities and or to contribute a quick turnaround of manufacturing vendor/ facility approval process.
  • Oversee the routine business communications.
  • Provide ongoing high-quality customer service support to internal and external business partners.
  • Provide recommendations on how to improve the mill registration process and the manufacturing vendor/facility approval process as the programs evolve.
  • Conduct training for vendors and relevant business partners.


Data Management + Reporting (30%)

  • Prepare weekly/monthly/quarterly analysis reports to Leadership team.
  • Maintain databases; this includes fixing errors and data-related problems.
  • Mining data from primary/ secondary sources, then reorganizing the data in a format that can be easily read and understood by internal business partners.
  • Audit data on a regular basis and ensure data integrity.
  • Conduct additional research and analysis, as requested.
  • Identify opportunities to enhance and streamline processes, and to provide recommendations to the Senior Manager, Supplier Sustainability Operations.
  • Create appropriate documentation that allows stakeholders to understand the steps of the data analysis process.


Vendor Approval Process (VAP) and database management (10%)

  • Manage the administrative approval process for all Gap Inc. brands by utilizing the appropriate branded/ non-branded sourcing model.
  • Administer the status changes - i.e. activation/ deactivation, withdrawal, rejection in a timely and efficient manner.
  • Ensure date integrity & consistency over multiple databases/ applications.
  • Review and implement relevant policies, procedures and processes.
  • Identify policy and database enhancement needs, provided thoughtful recommendations to Operations Manager.
  • Implement and to administer the Records Retention policy.


Mill Sustainability Program - Process + database + project management (10%)

  • Manage the administrative and registration process for Mill vendor/ facility of Gap Inc.
  • Process all status changes, e.g.- activation and deactivation, withdrawal, rejection, in a timely and efficient manner.
  • Manage data operations and validation of various initiatives and programs of Gap Inc.'s Mill Sustainability Program.
  • Ensure data integrity & consistency over multiple databases / applications.
  • Review and implement relevant policies, procedures and processes.
  • Identify policy and database enhancement needs, provide thoughtful recommendations to Operations Manager.
  • Implement and to administer the Records Retention policy.
  • Follow through the task/ project that is being asked to complete.


Miscellaneous (20%)

  • Manage ad-hoc tasks, as the needs arise.

Who You Are

  • Ability to handle routine data entry while assessing creative ways to improve processes
  • Strong ability to analyze data / processes, identify issues, recommend solutions and push toward resolution
  • Demonstrated strong ability to handle multiple projects simultaneously, emphasizing attention to detail, follow-through and adherence to deadlines
  • Strong customer service, interpersonal and relationship-building skills
  • Strong sense of urgency
  • Sensitivity to cultural and social differences
  • Flexibility in a changing environment
  • Ability to work independently with minimal supervision, and as part of a team
  • Self-motivated
  • Proven computer skills (Excel, Word, PowerPoint, Microsoft Power BI, Outlook and Access, Visio - flowcharts & Internet)
  • Strong verbal and written communication skills (especially in English)
  • Bilingual in English (fluent) and second language (based on main area of coverage) preferred
