Reports to: Director of Sales

The Sales & Sample Assistant is responsible for companywide management of the sample collections. The coordinator will liaison between all departments at various stages of each collection. The primary focus of this role is to optimize the brand’s participation in PR requests, Wholesale editorial requests, internal brand photoshoots as well as wholesale product shoots. This requires inventory management of samples, accurate scheduling, communicating conflicts and identifying solutions. We are looking for a motivated individual who is looking to develop a career in Wholesale and Public Relations.

Sample & Collection Management

  • Handle all sample trafficking including calling in samples and returning them, and managing requests from press and sales clients
  • Organize and document sample loans for each collection
  • Inventory and prep each collection for special events including photo shoots, press reviews, style outs, handoffs and returns
  • Responsible for seasonal sample hand off from Design and Production to Brand Communications
  • Support the Brand Communications Coordinator on Sample Management tasks
  • Proactively manage company sample set to ensure online Wholesale partners POs are shot and the brand participates in editorial requests
  • Accurately communicate sample conflicts to the Wholesale and Ecommerce teams in order to prioritize brand participation and rescheduling

Wholesale

  • Data entry of POs into ERP system. Send seasonal order confirmations, communicate amendments to clients, and update Pos
  • Complete wholesale partner copy sheets with fabric, sizing and UPC information to ensure accurate information is loaded to wholesale websites
  • Manage general wholesale inbox in partnership with the Head of Sales and ensure timely response times to all inquiries
  • Prepare and coordinate three seasonal collections for NYC market in partnership with Head of Sales. Inclusive of manage sample handover and tracking with the Design team, prepare garments for appointments (tagging, hanging, steaming etc.), maintain visual merchandising standards of the showroom throughout appointments

Qualifications

  • Proficiency in ERP, data entry systems
  • Microsoft Excel
  • Communicative and expresses ideas clearly, concisely and possesses strong oral and written communications skills, within and outside the company
  • Demonstrates good judgment and negotiating skills
  • Must be organized and analytical in processes
  • Works effectively as a team player and develops positive working relationships to collectively achieve company goals. Provides assistance when needed and demonstrates responsiveness to requests from coworkers and management
  • Completes assignments accurately and in a timely manner; prioritizes workload and meets deadlines
