Main Responsibilities:
Front of House:
- Manage the Reception switchboard
- Act as the first point of contact for all enquiries both externally and internally
- Ensure administration facilities are presentable and meeting rooms/hospitality scheduled
- Distribute incoming mail and deliveries
- Organizing couriers and tracking parcels
- Stationary and supplies inventory management
- Supporting logistics for senior team members and consultants
- Ensure all office facilities are maintained and upkeep office maintenance calendar
- Support in compliance of Health & Safety regulations
- Mailbox management of FOH email accounts
- Liaison for all external contractors connected with the building
- Coordinate show period facilities, e.g. catering and facilities
- Organize social activities company wide e.g. weekly office drinks
- Process and administration of Office Budget and related invoices
- Completing the office daily, weekly and monthly checks to ensure the high standard of the office is maintained
- Work closely with and support the FOH intern
- Supporting with team members onboarding/offboarding
- Responding to adhoc queries from staff members in a timely manner
Admin Assistant:
- Support the Operations Director and the Operations Coordinator
- Assisting, where necessary, other departments with ad-hoc tasks and work cross functionally with PA to Creative Director and CEO
- Support for Expense tracking for Office team and Operations Director
Skills and Experience Needed:
- Previous administrative experience within a creative industry
- MAC & PC experience
- Proficient in MS Office
- Excellent communication skills
- Forward thinking
- Team player essential
- Well presented as you will be the face of our company
- Additional languages a bonus
