Studio Assistant

Full time, in house

Permanent contract

JOB PURPOSE

The Studio Assistant is responsible for providing a comprehensive level of administrative and organizational support to the Design Studio & Design Directors.

The role also involves various administrative duties to support the creative process and is critical to the successful and smooth running of the Studio- Design.

RESPONSIBILITIES

Organise meetings, book meeting rooms and liaise with all relevant parties (Design, Product Development, Merchandising.....)

Help the design team to prepare for key steps: board presentations, organizing for collection reviews, sketch to fabrics etc.

Liaise with designers, product development and fabric and trims to obtain a full understanding of design and development/sampling process

Assist the Design team with managing the research & vintage to ensure it is organised both physically and digitally, checking items in and out, ensuring good condition, arranging dry cleaning when necessary and archiving bought vintage

Organise house model bookings and be an ambassador for model wellbeing

Assist the Studio Director & team to maintain a tidy, organised and positive working environment for all staff

Assist the Studio to manage budgets (research, vintage, travel and stationary) ensuring the Studio operates within set parameters

Support with diary and agenda management across time zones when needed

Process expenses in line with company policy

Book travel including flights, hotels, taxis for the Design team and when necessary support with travel itineraries and visas

Raise purchase orders and paying invoices in line with company procedures

Assist with IT and Maintenance queries

Perform general studio administration and assist the Studio Coordinators in the day to day running of the Studio

Organise events on the request of the Design Directors

Run ad-hoc errands, support in organising equipment for new starters, including freelance employees

Distribute all post

Deal with requests in a prompt and efficient manner

Be an ambassador for the brand and the Studio at all times and be the go-to contact for all studio queries

PERSONAL PROFILE

Previous experience of working in a fast-paced creative environment as a Studio Assistant

Highly computer literate, particularly in Outlook, Word, PowerPoint and Excel, experience with Macs also beneficial

Experience with Ariba, SAP and Concur preferred

Experience in using technology for meetings (VC, teleconference, Skype, Teams etc)

Must possess strong administrative and organisational skills with the ability to multi task and prioritise effectively

Professionalism and a high degree of confidentiality and integrity is crucial

Strong communication including excellent written and spoken English, interpersonal skills and attention to detail

Italian language skills beneficial

Able to work as a team, whilst also demonstrating initiative and flexibility where necessary (re-prioritise near-term assignments)

Able to appear calm and professional while working in a highly pressured environment

Understand and adhere to Exec Admin processes and ways of working (filing, file labelling conventions)

Provide cover as and when required for other Studio Team members

Instinctive connection with Burberry

Excellent people skills

Understanding of the critical path is preferred

Proven ability to adhere to and deliver to deadlines

Knowledge of apparel manufacturing and production beneficial
