We're looking for someone who will increase the impact of our Chief Financial Officer and her leadership team. Sure, we could have just called it an Executive Assistant, but where's the fun in that? An Expansion Pack (EP) is similar to an Executive Assistant role in other companies, but we've changed the title because "assistant" is too narrowly focused. EPs work to increase the effectiveness of their Leader by optimizing the time and efforts of their day-to-day and driving initiatives focused on increasing team cohesion and connectedness across locations/time zones.

Shopify moves at an extremely fast pace and this person will have to maintain, organize and juggle priorities in an ever-changing remote environment. The job will be challenging, fast paced and incredibly rewarding. As an EP, you'll be required to have a finger on the pulse of the leadership team and gain a solid understanding of the business - this role has a huge learning opportunity!

In this role, you will be primarily responsible for supporting the Chief Financial Officer (CFO) and you will report to the Chief of Staff. We expect that you will become a valued partner and advisor to the Office of the CFO and that over time your responsibilities will expand to encompass a wide range of mission critical tasks to Shopify.

  • You'll bring the team together with everything you do, using your tremendous energy & enthusiasm, as a result it's highly contagious.
  • You'll be assisting with the creation of important documents and presentations using Google slides and other G-suite applications.
  • You will be assisting with drafting communications for emails on behalf of the Office of the CFO, creating speakers notes and team announcements.
  • You'll keep the CFO and the team on track by helping to organize meetings, book travel, take care of expenses and do everything that a rockstar assistant would crush, maximizing their efficiency.
  • You'll follow key projects, and surface obstacles or problems early on so that the CFO and the team can take quick action.
  • You'll be helping a very busy senior leadership team stay on track by documenting takeaways from meetings and following up on action items.
  • You'll have direct exposure to senior leadership and executives.
  • You'll run research projects, special initiatives, and propose ideas.


Qualifications

Still sound good? OK, here's what we need from you:

  • Extraordinary attention to detail. If you don't self-identify as hyper organized, this isn't the role for you.
  • Stay close to your Leader's responsibilities, which could include following up on to-do items/reminders, sharing updates, and informing them of critical discussions and priorities
  • Multi-tasking master. You enjoy no day looking the same and can multitask and bring order to chaos with ease.
  • Proactively plan ahead of time, solve your Leader's operational inefficiencies, recommend solutions, and synthesize context and information to filter to your Leader
  • You can adapt and work extremely well with a diverse set of stakeholders. You thrive when working with senior leadership, large teams internally and externally.
  • You have the confidence and presence to make highly independent decisions, initiate impactful projects, and act as the CFO's representative internally and externally
  • Experience with technology. If you're not comfortable with new technology and working online, this role may not be a good fit.
  • Being a vault. You will have access to lots of super sensitive information and will know everything the senior leaders know. You should feel comfortable knowing things that may make other people uncomfortable.
  • Exceptional written and oral communication skills.
  • Located in EST time zone with a strong preference for NYC area.
