New Guards Group is looking for an HR Administration Specialist for its HR Department. You will report directly to the HR Administration & Payroll Coordinator and will support the team in managing all the HR Administration-related activities for the Italian Companies.


    • Oversee the correct flux of information within Workday (our HR system) related the employees (hirings & leavings, contract, role and compensation changes, etc
    • Prepare employments offer letters, contracts, letters of promotion and compensation changes in line with the National Labor Contract applied.
    • Elaborate and activate internship agreements with Universities, Business School etc.
    • Elaborate contracts of consultancy in line with what has been agreed with the consultants.
    • Monitoring the monthly deadlines related to the employment/internship/consultancy relationship.
    • Monitoring the correct management of the overtimes and absences accordingly to the National Labor Contract and support the employees in the management of their monthly timesheet
    • Collect the monthly variations to insert in the payslips (increase/contract changes/bonuses/commissions) and check that all of them are properly inserted in the payslip draft
    • Support employees on administrative/payroll issues
    • Organize and manage Onboarding call with new employees
    • Manage the Company Welfare Portal (submit new employees, deleting leavers, downloading reports, etc)
    • Manage the Company Ticket Restaurant Portal (submit request for new cards, monthly ticket order, etc)


    • At least 3 years' experience in HR administration activities, in structured companies with a retail business (better from a fashion industry)
    • Bachelor Degree
    • Very Good knowledge of the English language and Excel
    • Knowledge of Workday will be considered as a plus
    • Precise, punctual in carrying out the activities, flexible and with spirit of adaptation in a dynamic reality, in strong growth and in phase of structuring.
