Overview:

Reporting into the Chief Marketing Officer, the Personal Assistant supports the CMO in achieving their goals by proactively providing relevant, personalised and timely administrative assistance, diary management and project support. The Personal Assistant is vital to the day to day operations and interacts with diverse stakeholders across the business, manages confidential information and works independently. Crucial to this role is strong written/ verbal communication skills, strong decision-making ability and attention to detail.

Your Mission:

  • First point of contact and liaison for all queries and phone calls directed to the Chief Marketing Officer, while having the ability to prioritise urgent queries or calls.
  • Completes a broad variety of administrative tasks for the CMO including: managing an active calendar of meetings ; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans.
  • Plans, coordinates and ensures the CMO's schedule is followed. Provides "gatekeeper" and "gateway" role
  • Keeping up to date with progress of tasks and feeding back timelines to the CMO, including taking notes and following up on actions when required.
  • Preparation of various documents including presentations, project updates and meeting agendas
  • Organising and setting up video calls/ setting up meeting room space in preparation for meetings.
  • All scheduling of events and meetings relating to the CMO or the Marcomms team
  • Coordination of the annual leave calendar requests for the Marcomms department.
  • Liaising with the PA network within the Company on a daily basis to schedule meetings and events.
  • Ensuring invoices are approved on-time for payment runs.
  • Ad Hoc Projects


Your Talent:
  • Demonstrable e xecutive administrative support experience where there has been a need to prioritise and multi-task various and competing demands
  • A good communicator with the ability to interface regularly with internal and external people at all levels
  • Ability to be discrete, confidential and reliable at all times
  • High attention to detail

  • Resourceful - ability to get things done
  • Flexibility - weekends or evening work may be required during busy periods


Systems Experience:
  • Experienced with outlook and MS software
