Responsabilities:

The Administrative Assistant will support the operational and administrative needs of the Brazil local Office with primary support to the Managing Director and Office management team. Some of the major responsibilities include:

  • Communication - Answer phone lines for the above individuals. Take accurate, timely phone messages. Proactively manage and maintain individual calendars.
  • Travel - Book and prepare comprehensive detailed travel arrangements (for complicated international and domestic itineraries) as needed (flights, hotels, visas, car rentals, reservations, etc.).
  • Presentations - Create and compile detailed Excel and PowerPoint documents.
  • Conferences - Assist in the logistical preparation of conferences and meetings including site selection, finalizing contract, coordinating the catering, AV and conference room. Assist in conference material preparation.
  • General Office Maintenance - M anagement of office supplies, coordination of accepting and signing for deliveries and packages and coordination of shared materials across departments.
  • Suppliers Management - Departmental representative for accounts payable; invoice and file departmental bills. Prepare accurate Expense Reports.
  • Special projects as assigned by Officers, Manager and/or Department.


Required Qualifications:
  • 2-3 Years Executive Assistant experience
  • Excellent verbal and written communication both in Portuguese and English.
  • Skills and ability to work independently as well as part of a team
  • Must be proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Excellent organization skills, must be detail oriented
  • Must be a team player and collaborative
