POSITION SUMMARY:

The Executive Administrative Assistantis responsible for providing administrative support to the VP, Assistant Treasurer as well as department needs. This position requires a high-energy, self-motivated, detail-oriented professional with strong interpersonal, multi-tasking, organizational, and technical administrative skills.

PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES OF THE JOB:
  • Provide general support to VP, Assistant Treasurer and our treasury/credit leaders and staff, including but not limited to, answering phones, scheduling internal and external meetings and events, ordering office supplies, travel coordination, handling mail/packages, etc.
  • Manage and coordinate VP, Assistant Treasurer's calendar with various external bankers and other third parties
  • Ensure the upmost confidentiality of any data pertaining to various internal projects, activities, and personal data.
  • Handles all management expenses reports and tracks budget data for the department. Organizing invoice payments with accounts payable and setting up DocuSign for various documents.
  • Maintain department data including organizational charts, email distribution lists, birthdays, anniversaries, emergency contact lists, etc.
  • Assists treasury with various bank administration functions
  • Special projects

QUALIFICATIONS & EXPERIENCE:

Experience: 3-5 years of experience as an administrative assistant

Education: Bachelor's degree (or equivalent) preferred

Skills:
  • Detail oriented and highly organized
  • Excellent at handling changing priorities; multi-tasking
  • Possess exceptional time management skills, ensuring efficiency and accuracy in pressured situations
  • Must be flexible, ensuring availability when needed
  • Strong prioritization and follow-up skill in pressure situations
  • Excellent verbal and written communication skills, including the ability to draft correspondence with minimal direction.
  • Must be proactive and resourceful with all tasks
  • Proficient with various audio/visual tools including Jabber, Webex, and video conferencing
  • Strong knowledge of Excel, Word, Powerpoint, and Outlook required
