The Operations Specialist for the Diamond and Gemstone Procurement manages the physical movement and systematic transactions (which include the systematic receiving, issuing, shipping, and tracking required ) for the input and throughput of diamonds and gemstones. The Operations Specialist oversees the physical and systematic locations of in-process gemstone and diamond inventory. This position will provide Inventory Control support for Gemstone Acquisition and Diamond Division buying, grading, and planning. This position will also support HJ Gemstone and Diamond Acquisition and Diamond Acquisition teams and may require additional projects and responsibilities deemed necessary to support departmental goals.

Key Accountabilities:

Systems, Transacting and Tracking
  • Execute the detailed physical and systematic receipt of gemstones and diamonds in J.D. Edwards ensuring efficiency of processes and accuracy of transactions.
  • Manage the physical movement and systematic transactions which include systematic receiving, issuing, shipping, and tracking required for the input and throughput of diamonds and gemstones for the HJ Gemstone and Diamond Acquisition and Diamond Acquisition teams.
  • Execute and manage all steps in the lifecycle of memo from incoming receipt to RTV (return to vendor)
  • Execute and track the systematic transfer and return of stones to cross functional teams and suppliers for product viewings or repair.
  • Monthly tracking and reporting of the systematic transfer of ownership from in-process to Tiffany owned merchandise (DOPS) in collaboration with GA Ops and Tiffany Gem Lab (TGL) operations.
  • Manage movement and provide management with weekly Receipts Routing reports and High Value stones in ‘in-transit' and internal IC locations.
  • Support PO creation, Item number creation and sign off process.

Productivity
  • Partner with Pelham and GA grading labs to ensure target ranges are filtered into the process appropriately to meet demand requirements and project deadlines to support the HJ Gemstone and Diamond Procurement initiatives. Identify and implement process efficiencies, furthermore, enhancing process effectiveness
  • Partner with management to ensure target ranges are filtered into the process appropriately to meet demand requirements and support Diamond Division initiatives.
  • Track the systematic transfer of ownership from in-process to Tiffany owned merchandise in collaboration with Tiffany Gem Lab (TGL) operations.
  • Identify if appropriate resources are allocated in supporting teams (GA and TGL) to achieve speed to market targets and communicate any challenges to Management.
  • Support cross functional team to troubleshoot transaction errors, coordinate with necessary business partners to resolve.
  • Support continuous improvement initiatives through the identification and implementation of process improvements. Identify opportunities to increase employee engagement and execute TiPS initiatives.
  • Provide subject matter guidance on JDE in-process transitions to support timely processing and error resolution.
  • Support in preparing shipment of stones to external and internal labs (MTL) for Consignment stones and time sensitive projects in accordance with company policy. Ensure test results & all associated documentation is properly kept in accordance with record retention guidelines.
  • Support processing for all qualifying diamonds into Grading Lab complete evaluation for standard proportions according to TGL procedures utilizing Sarine technology. Maintain the accuracy and integrity of Sarine output while controlling the upload of data into JDE.

Organization and Inventory management
  • Manage the organization of diamonds and gemstones in accordance with TiPs (Tiffany Production Systems) to ensure quick accessibility and maintain zero loss.
  • Organize and maintain records for all internal transfers and open supplier memos.
  • Conduct the daily High Value Counts as required by Auditing
  • Support all business initiatives for ad-hoc events as requested per management.
  • Adhere to all TiPs initiatives, Gemstone Acquisition procedures and Chain of Diamond Custody (CODC) policies and procedures for Diamond Division and TGL

Required Qualifications:
  • Adhere to all TiPs initiatives, Gemstone Acquisition procedures and Chain of Diamond Custody (CODC) policies and procedures for Diamond Division and TGL

Preferred Qualifications:
  • Bachelors Degree, Graduate Gemologist.
