Executive Assistant
HUGO BOSS UK Ltd. | London | United Kingdom | Full-time

As the Executive Assistant you will be responsible for providing key administrative and business support to the Managing Director. You will be able to manage complex duties in a fast-paced manner whilst thinking creatively and adapting to challenges.

What you can expect:
  • Extensive diary and calendar management for the MD - resolving any scheduling issues
  • Acting as the first point of contact among executives, employees, clients and other external partners
  • Managing information flow in a timely and accurate manner
  • Planning and booking travel and accommodation
  • Preparing expense reports
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information
  • Formatting information for internal and external communications - including emails, reports and presentations
  • Preparing board packs, minute taking for meetings and circulating minutes to ensure actions are met
  • Organising and Coordinating Global visitors, including social meetings, sourcing venues and confirming reservations at top central London restaurants & venues
  • Sourcing and booking catering for internal meetings and for external visitors
  • Dealing with routine office issues in a timely and effective manner
  • Complete ad hoc projects as assigned - such as personal events and/or family needs

Your profile:
  • 2 + years of MD/C-Suite level experience
  • Excellent communicator - able to interact with people of all levels in a confident, professional manner
  • Ability to build relationships at all levels across the business and with external contacts
  • Outstanding organisational and time management skills
  • High levels of flexibility and adaptability
  • Ability to think outside of the box and resolve problems efficiently
  • Think independently and to make decisions under pressure
  • Drafting, writing and research skills
  • Excellent central London connections with restaurants/catering businesses
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
