REPORTS TO: Strategic, Head of Property

 

JOB PURPOSE 

To manage the Facilities and Health & Safety operations across the Stores, Warehouse and Head Office for Jigsaw.

 

DUTIES AND RESPONSIBILITIES 

Liaising with Store Managers and Suppliers to coordinate all Site Visits for Planned Preventative Maintenance (PPM), Reactive Maintenance, H&S Audits, Waste Management and ongoing projects 

 

Statutory Compliance -  booking in and managing schedule for PAT, Electrical & Fire Safety devices for all Retail Stores, Head Office and Distribution Centre 

 

Working closely with the Maintenance Manager to plan any works that are handled in house i.e., decorating, repairs, Landlord requests

 

Raise any issues or supplier failures in the first instance with the Strategic Property Lead and resolve effectively 

 

Head Office move requests: Assist Maintenance Manager/ IT Team with ordering of items required and assist in scheduling labour if needed

 

Supporting New Store Openings: Procurement of specialist shop fitting items such as rugs, track lighting, light fittings and furniture in line with opening deadlines. 

 

Daily Admin for Compliance Works and PPM, maintaining upkeep of all Retail Stores & Head Office records and respond efficiently to emergencies 

 

In charge of Key Holders and Master Codes for all sites Intruder Alarm systems, including cancelling/opening contracts and liaising with suppliers around any store closures and openings 

 

Principle contact for all out of hours Facilities Issues for Retail Managers

 

FINANCE & BUDGETING

Managing the department budgets, re- tendering of suppliers as required

Communicating reactive maintenance spends with Finance Team 

Management of invoices and billing queries for all PPM and Reactive Maintenance works for Retail Stores & Head Office 

 

HEALTH & SAFETY

In charge of Incident/Accident reports admin, HSE reporting/ issuing reports for insurance purposes to necessary legal advisors

Key contact for Environmental Health, Local Councils and Fire Officers

Planning of H&S Store Audit Admin and Actions 

Working with external H&S Consultants to identify training needs across all Retail sites and Head office, delivering H&S Training when required 

Planning of Fire Risk Assessment Admin and Actions:

Responsible for Fire Fighting equipment at Head Office, Stores and DC:

Working with external contractors to manage Asbestos Surveys, Fixed Wire Testing, Legionnaires Water Testing, EPC and all Fire related assessments 

 

REQUIRED KNOWLEDGE, SKILLS AND EXPERIENCE 

IOSH Qualified (Or NEBOSH)

Experience in similar Facilities Management Role 

Ability to manage conflicts calmly and effectively 

Excellent communication skills 

Positive and professional attitude 

Decision making ability and sense of responsibility 

Planing and organisation skills with a passion for Facilities Management and H&S
