HR Administration

Provide accurate and timely general administrative HR support to the retail businesses in the following countries: Singapore, Malaysia & Thailand
  • Prepare Monthly Payroll instructions for 3 countries, including managing payroll approval through engaging relationship with external payroll providers
  • First point of contact for payroll legislation changes.
  • Ensure compliance to statutory requirements, and process government claims, social security submission, taxes and National Service filing, employment passes processing etc. i.e. CP/EPF submission, tax filing, NS claims, work pass processing etc. Process all government related claims e.g. Maternity & Paternity Leave/Childcare Leave/National Service Makeup Pay Claims etc.
  • Ensure all new hire paperwork, offer letters and employment contracts are completed.
  • Maintain HR employee efiles, ensuring all necessary paperwork is processed and filed in a timely manner.
  • Maintain accuracy of HR Systems data (Oracle)
  • Facilitate and monitor new employees' on boarding, probation period check-in and employment confirmation, using the new starter checklist. Handing off to Education team for onboarding.
  • Manage off-boarding of employees including exit clearances, tax filing for non-local employees etc.
  • Manage enrolment and termination of insurance coverage for all employees
  • Ensure employee-related paperwork is received and maintained accurately inclusive of: Paid Parental, Caregiver Leave, maintained in accordance with Payroll.
  • Collaborate with the respective payroll vendors for South East Asia in yearly tax filing


Support HR Manager with recruitment efforts for store and office based positions.
  • Partner with HR Manager co-ordinate internal & external job postings, advertisements, career fairs, employee referrals and agency referrals.
  • Maintain immigration data, renewal of work pass and monitor compliance, and reporting as necessary.
  • Assist with the maintaining Job Descriptions, partnering with Managers.
  • Assist with the coordination of the seasonal and new store recruitment efforts

Data Collection and Analysis

Data collection, reporting and analysis of HR metrics.
  • Using multiple sources (exit interviews, onboarding survey, performance management, employee survey, personnel action lists, talent acquisition hiring forecast etc.) to collect and analyze data including employee turnover, employee onboarding/exit data, compensation and performance.
  • Utilise the exit interview data for analysis, sharing trends with HR Management .
  • Track HR related activity and provide ad hoc reports/statistics to support departmental goals and initiatives.
  • Assist and support annualized and ad-hoc processes and reporting including PMP and eComp.

Employee Relations
  • Execute and promote compliance of all Tiffany policies and procedures.
  • First point of contact on employee queries (annual leave, notice period, wellness etc)
  • Update Oracle on discplinary actions etc.

HR Projects

Providing support in key HR projects

  • Degree in Human Resources Management or related discipline.
  • 2-3 years of relevant HR experience.
  • IT literate with a strong proficiency in MS Office ( word, powerpoint, excel) .
  • Understanding of local employment law/acts
  • Well organised; self starter; strong initiative, able to meet deadlines
  • Excellent communication skills both written and spoken
  • Drive for achievement and attention to details
  • Well -groomed professional
