Job Details
LOCATION: HEAD OFFICE, LONDON
REPORTS TO: FINANCE DIRECTOR
PURPOSE OF ROLE
Direct, manage and coordinate logistics, warehouse and transportation activities. Lead and direct strategic planning for logistics.
KEY DUTIES & RESPONSIBILITIES
- Strategically plan and manage all inbound and outbound logistics for the company Manage inbound finished goods shipments from EU, UK and ROW factories alongside production team Manage stock allocation and delivery across all channels (wholesale, retail and digital, staff and F&F) Maintain metrics and analyse data to assess performance and implement improvements: Improve cost, productivity, accuracy, and timeliness
Inbound:
- Work with production to arrange inbound finished good shipments from factory to UK 3PL Communicate with 3PL regarding planned inbound volumes for planning purposes Create ASNs for stock received into 3PL from factories
Outbound:
- Manage seasonal stock allocation for wholesale, digital, retail and private orders Communicate clear outbound instruction to UK DC via shipping tracking and WMS (mintsoft)
Manage distribution to all channels:

- Wholesale:
- Communicate with wholesalers regarding ready goods and shipping authorisation Preparation of all shipping documentation including DN/IN & requesting corresponding export documentations from 3PL. Arranging customer shipments through nominated freight forwarder and couriers. Assisting with monitoring incoming customer payments with finance before releasing shipments to customers when necessary, liaising closely with the finance and sales team regarding those customers on hold/with payment difficulties or special payment plans.
- Work with Operations coordinator to create and communicate transfer and upload instruction to warehouse and digital team

Reporting:
Create and publish weekly reports regarding overall distribution, seasonal delivery schedules and financial forecasting
- Weekly Logistics Planner – seasonal inbound and outbound planning Weekly and daily reporting to 3PL regarding inbound and outbound planning Weekly reporting to retail, digital and wholesale teams regarding inbound stock and availability
Month end courier spend reporting to finance (monthly) Monthly Finance Forecast for wholesale invoicing Monthly warehouse KPI report
Season set up and Wholesale Administration:
- Enter seasonal HTS codes on Zedonk Ensure all customs product info is entered on Zedonk (MID codes, HTS codes, customs type etc) Manage seasonal wholesale returns and credit notes Communicate returns to UK DC Ensure inventory system reflects correct returns Raise and send credits
Create seasonal Product Description Sheets documents for applicable customers Order seasonal product labels for applicable customers
Freight, Import/Export and Couriers:
- Maintain and build relationships, liaise and negotiate with couriers and forwarders regarding existing accounts/new accounts. Liaise with relevant government agencies and/or their authorised agents to handle technical details relating to international transportation, such as customs regulations and any necessary documentation.
- Export documentation, CARNET, CITES, EAC if required
Ad hoc duties:
- Courier training for new employees/interns Assisting with urgent shipments for PR, marketing, design/collection development, trunkshows
