JOB PURPOSE
Provide a comprehensive level of administrative and organisational support to the VP of Responsibility and the wider Corporate Responsibility Team on an ad hoc basis. Your primary role will be to ensure the VP of Responsibility is fully supported to enable smooth and efficient running of the department. Additionally, you will be instrumental in supporting The Burberry Foundation Secretary to ensure the Foundation has the rigour and standards of a well governed charity.
RESPONSIBILITIES
• Diary and agenda management across time zone
• Booking meeting rooms
• Production of presentations and papers as and when necessary
• Planning of travel itineraries
• Booking travel including flights and hotels for Executives and their teams
• Processing expenses in line with company policy
• Raising purchase orders for Executives and their teams and paying invoices in line with company procedures
• Handling IT and maintenance queries
• General office administration including ordering of stationery
• Organising events at the request of the Executives (e.g. team meetings, away days etc.)
• Respond to and declare any external invitation and speaking requests
• Running of ad-hoc errands
• Ensuring phones are answered politely, quickly and efficiently
• Opening and distribution of all post
• Maintaining filing systems
PERSONAL PROFILE
• Previous experience of working as a Team Assistant to management
• Computer literate, particularly in Outlook, Word, PowerPoint and Excel
• Experience in Concur preferred
• Experience with using Ariba/SAP preferred
• Experience in using technology for meetings (VC, teleconference, skype, Webex etc.)
• Strong administrative and organisational skills with the ability to multi task
