The Administrative Assistant will support the operational and administrative needs of a department with primary support to the Vice President and team. Major responsibilities include: calendar and travel management, invoice and expense management, office management and meeting coordination.

*This position is located in-person with a hybrid-optional schedule part of the week at our Corporate Headquarters in New York, NY.

Executive support/calendar management:
  • The Administrative Assistant will be proactively lead daily calendars and resolve scheduling challenges. They will book and prepare comprehensive travel arrangements as needed (flights, hotels, car rentals, reservations).
  • They will run expense reports, coordinate departmental invoices, reconcile capital expenditure requests and expense accounts. They will also be responsible for meeting deadlines and policies.

Office Management/Team Support:
  • They will track departmental vacation schedules, time off and coordinate all time-sheets. They will create/update PowerPoint presentations, assist in the logistical preparation for meetings and interviews including reserving conference rooms for VPs, ordering meals, collaborating closely with IT, etc. General office management including management of office supplies, coordination of accepting and signing for deliveries and packages, distribution of trade magazines and coordination of shared materials across departments.

Other Responsibilities:

The Administrative Assistant will support the Chief Gemologist cross-functionally with Public Relations and the Global Sales Organization for the following:
  • Organizing and cataloguing responses to editorials in support of Blue Book and High Jewelry Collections
  • Preparation and organization of letters needed for VVIP clients to support sold High Jewelry selections
  • Preparing research and sales support materials needed for Global Selling Events


Required Qualifications
  • At least 4+ years of administrative experience supporting a team and senior-level executives in a fast-paced environment
  • Exceptional interpersonal skills
  • Business writing & verbal communication skills
  • Shown mastery in Microsoft Office Applications with emphasis on PowerPoint and Excel.
  • Deadline driven with flexibility and superior organizational skills
  • Have flexibility with changing job requirements as the business needs change
  • Ability to resolve issues without close supervision

Preferred Requirements
  • English, PR, Communications or Advertising Major
  • Experience in a Corporate environment
