Vestiaire Collective is looking for a Workplace Experience Coordinator to join our Brooklyn Warehouse team!

About the role

The Workplace Experience Coordinator works onsite with the Logistics Operations, Quality Control and Authentication Teams at Vestiaire Collective located in Brooklyn, NY. The WEO loves taking care of employee's needs; organization and exemplary processes. The WEO is unwavering in their pursuit of helping others and improving the employee experience. This person will use their exceptional customer service, coordination and problem-solving skills to help us build an even better workplace.

Additionally, they will partner with the People Operations Team to help deliver an exceptional employee experience through people-related communication, systems, and programs. The right person for this role is detail-obsessed, thoughtful, energetic and creative, and thrives in a collaborative, rapidly evolving environment.

This role will be responsible for maintaining operational effectiveness of the Brooklyn facility and supporting all of its needs. They will locally contribute to a variety of people-related processes and programs including explanation of benefits, administration of culture and team building events, employee communication, supporting learning and development programs, New hire orientation and onboarding, and coordination of scheduling.

What you'll be doing
  • Provide high-touch service as the first point of contact for general employee questions about systems, processes, and workplace needs.
  • Work with the People Team to create a positive new hire experience by coordinating employee onboarding, facilitating orientation and serving as the liaison to new hires during the onboarding process
  • Provide operational support and maintain accurate files and records across our various systems
  • Be responsible for the facilities management and ensure the workplace is a safe and productive environment This may include ordering supplies, coordinating service and maintenance, organizing safety protocols, and providing general administrative assistance as necessary.
  • Provide administrative support to the company's People team, as directed
  • Assist with planning and coordination of celebrations & culture events and executing employee perks programs
  • Coordinate with IT to provide technical support where needed
  • Support recruiting efforts as needed with coordination of recruiting events and candidate interviews
  • Maintain employee communication channels via Slack and onsite signage.
  • Possess discernment to be a support mechanism for basic employee relations matters by directing employees to appropriate resources (manager; HR Team Business Partner, etc.)
  • Assist with record audits and mandatory reports, which may include I-9 audits, EEO-1 filings, and other compliance reviews
  • Maintain compliance with federal, state, and local employment laws and regulations as directed by People team
  • Perform various duties and projects as assigned

What we are looking for
  • 2+ years Administrative experience, HR support and/or fashion/resale industry experience a plus
  • Experience with data entry and use of an HRIS system, like ADP, Namely, etc.
  • Strong Microsoft Office skills (Including Excel and PowerPoint)
  • Exceptional customer service skills and proven ability to perform in a fast-paced, rapidly evolving environment
  • Meticulous attention to detail with a track record of accuracy and organization
  • Ability to work within ambiguity, be a problem-solver and take initiative
  • Excellent written and verbal communication skills and ability to handle sensitive matters with tact and diplomacy
  • Self-starter and fast learner requiring minimal direction
