The role of Production / Events Manager will predominantly support key clients across the fashion, lifestyle, and beauty divisions at Karla Otto London – both UK based and international, coordinating multiple events and special projects in the UK market. Creatively leading end to end project management from initial concept to execution. The successful candidate will be an enthusiastic, self-motivated individual, who is able to work both independently and as part of a team.

 

Responsibilities include, but are not limited to;

  • Assisting client teams (across fashion, lifestyle, and beauty) to develop creative event concepts to meet client’s brief / objectives
  • End to end project management including creative concept, client liaison, budget management, scheduling and run of show, supplier sourcing and internal management (across client teams, finance, legal)
  • Carrying out on-site inspections and managing all elements of ‘special event’ production. This includes optimizing and trafficking all creative files and assets
  • Cultivating and maintaining excellent relationships with clients, suppliers, vendors, event agencies, and creatives
  • Managing all third-party vendors from contracts to briefings through to the final event stages
  • Liaising with internal teams to ensure that all roles and responsibilities are clearly defined; and that all aspects of each event are appropriately managed
  • Developing, communicating, and maintaining timelines and deliverables for pre-production through to event wrap up. Producing and managing detailed production documentation e.g., call sheets, photographer/videographer briefs, timelines, production books, post event reporting etc.
  • Handling client queries and troubleshooting on the day of each event to ensure all runs smoothly
  • Precisely planning and managing the budget associated with each event – using internal Paprika system
  • Maintaining awareness of industry trends and any challenges to the commercial ambitions of clients, thinking more broadly about the cultural environment, creating relationships between clients and cultural opportunities
  • Maintaining an up-to-date database of new openings in and around London – venues, restaurants, locations etc.

 

KEY ATTRIBUTES

  • Minimum 3-4 years of experience in production/events management role
  • Displays leadership qualities and ability to effectively delegate where appropriate
  • Ability to take ownership of projects without supervision
  • Extremely well-organized, methodical, and efficient, with good common sense and initiative
  • Accomplishes tasks accurately and thoroughly with strong follow-up skills
  • Discreet, professional, and articulate, with excellent communication skills
  • Ability to multitask and manage several projects and events, with numerous briefs, simultaneously
  • Ability to be flexible in approach
  • Strong computer skills including Outlook, Excel, and PowerPoint, FGPS etc.
  • Ability to work under pressure to meet deadlines
  • A solid understanding of the fashion and creative industry
  • Eligible to work in the UK
