ACCOUNTS PAYABLE ASSITANT (6 Month FTC)

About THE ROLE

The PVH finance team is instrumental to the success of the PVH Region North business. Acting as true business partners the team are responsible for providing accurate, timely and reliable information which supports and shapes our strategic direction.

Accounts Payable Assistant (6 Month FTC)will work within the Financial Accounting team, whose role is supporting the business to reach their targets. This is done by supporting the accounts payable function across the board - across Tommy Hilfiger and Calvin Klein for Retail and Head Office across Region North. The main role of this position is to support the Accounts Payable Accountant with AP ledger management, invoice / employees expenses processing and analysis, as well as invoice coding in the invoice approval system. This role will involve building good and trustworthy relationship between different stakeholders; suppliers, Shared Service Center (SSC) team and colleagues. It is crucial for the business that all invoices and employees' expenses are be approved and paid on time, charges recognised correctly and processed to the correct G/L ledger, under correct cost or profit centers. Supporting the Accounts Payable Accountant to analyse AP ledger will be essential for the role, understanding whether the 3rd party invoices are processed on time and in correct period. The Accounts Payable Assistant will work closely with Accounts Payable Account and will report directly to Financial Controller.

Responsibilities include:

Support the Accounts Payable Accountant to analyse AP Ledger across Region North:
  • Review AP ledger with Accounts Payable accountant on weekly / bi-weekly basis for 8 companies
  • Analyse open items
  • Advise Accounts Payable accountant and SSC for reconciliations of vendor accounts
  • Work closely with Accounts Payable Accountant on preparing weekly updates of AP ledger analysis and action plan

Coding 3rd party invoices in COUPA (invoice approval system):
  • Code 3rd party invoices and make sure the correct G/L code as well as correct Cost Center / Profit Center is allocated to each invoice
  • Query the invoices with suppliers for any inconsistencies for the charges received
  • Query the invoices with business stakeholders and ensure the correct charges are received and according to their expectations
  • Support Accounts Payable Accountant to create PO numbers in the COUPA

Other tasks:
  • Contact suppliers for any queries
  • Make sure invoices are addressed correctly
  • Manage queries regarding charges, etc
  • Work with various departments for setting up new vendors and confirm the supplier and bank details
  • Create the database for utilities suppliers and updating Carbon reporting template in monthly basis with utility usage each month, for each store (UK)
  • Collect post from UK Head Office, open letters and scan the invoices, which later to be send to SSC for processing;
  • Support with adhoc requests from the Accounts Payable Accountant / Financial Controllers

About YOU
  • You have some experience working within an AP function / accounting within a retail industry is preferred but not essential
  • You have advanced Excel skills and knowledge in accounting software is preferred
