Job Details
Responsibilities:
- Oversee all administrative duties for the department including scheduling, master calendars organizing all event materials, coordinating/assembling all reports
- Assist in the creation, planning and production both leading up to and onsite for all events
- Prepare and monitor budgets, invoice tracking, and quarterly event calendars
- Assist with creating, writing and editing event concept decks, studio briefs, production schedules and timelines
- Organize and document all materials such as photos and videos from events & initiatives
- Conduct daily researching of competitor brands and compile monthly brand analysis report
- Assist with weekly status reports and department presentations
- Work with other teams within the marketing department on initiatives and event related projects
- Develop and maintain relationships with external vendors, including handling vendor negotiations
- Manage VP of Global Sponsorships and Events calendar and meetings, expenses and travel itineraries
- Must be knowledgeable of the brand's history, its competitors, and current events
Qualifications:
- College degree
- 3+ years of demonstrated experience, preferably in an event space environment
- Conversational Spanish, a plus
- Maintain a high attention to detail
- Established relationships with external vendors
- Ability to maintain a professional and discreet attitude at all times
- Able to problem solve; self-starter with strong ability to meet deadlines and expectations
- Work well autonomously, take ownership of tasks and be accountable
- Stellar customer service
- Ability to perform well in high stress situations
- Reliable, dependable and resourceful
- Extremely organized and able to prioritize needs
- Strong communication skills, both oral and written; able to take direction and make necessary actions in relation to the needs of the request
- Positive, friendly attitude, a must
- Ability to work with VIPs and manage riders, as needed
- Knowledge of social media and cultural trends that may be relevant to events and activations
- Experience with MS Suite and Keynote
- Experience with Excel for budget and timeline management
- Must be able to handle multiple projects
- Must adhere to deadlines
- Detail oriented, innovative and agile
- Fluid environment with changing priorities. Some lifting (50 pounds or less) required. International and domestic travel is required. Late and weekend hours as needed
