Job Title: Office Coordinator 

Reporting to: Head of People

Location: Latimer Road at present however, we will be moving to a new space in White City in Nov 2022

Work Type: On site

Hours: Full time, 37.5 hours per week

Closing Date: 2nd September 2022

About the role:

This is an exciting new role to support the move and set up of our fabulous new offices. Once we are settled in our new home, you will confidently provide front of house support welcoming everyone who visits us. You will ensure the smooth and efficient running of the office on a day-to-day basis and will be responsible for the health, safety and wellbeing of all employees and guests. Your Responsibilities:

  • ​Provide a welcoming and inviting environment for all guests and visitors
  • ​Act as the first point of contact for all office facility related questions and requirements
  • ​Ensure the office is well maintained, managed, and stocked
  • ​Ordering stationery and kitchen supplies
  • ​Manage the meeting room calendar and access to the meeting rooms
  • ​Prepare meeting rooms, refreshments, and lunch for internal and external meetings
  • ​Lead the Social committee, monthly social meetings, and the budget
  • ​Assist with the set up of employee events, internally and externally
  • ​Manage post
  • ​Organise couriers when required
  • ​Health and Safety management
  • ​Liaise with the building management team regarding maintenance and repairs
  • ​Arrange travel when required
  • ​Record office expenditure and manage the budget
  • ​Promote positive company culture and employee wellness
  • ​Assist with the set-up of shoots in the inhouse photography studio and maintaining the concept store.​

About you:

  • Great organisational and time-management skills ​
  • Knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) ​
  • The ability to manage your own workload 
  • ​Excellent interpersonal and communication skills ​
  • Attention to detail ​
  • Flexibility in working hours to support with out of hours meetings and social events
  • ​A problem-solving approach to work ​
  • A caring and friendly nature
