Role Title: Accountant/Bookkeeper

Cara Cara is looking for a full time Accountant and Bookkeeper to manage and reconcile all company finances and ensure financial records are accurate throughout each year. The Accountant will manage all accounting and tax reporting documentation, bill payments, payroll processing, bank reconciliations, cash flow projections and updates to our financial model based on current and forecasted company activities.

Founded by three women and based in New York City, Cara Cara offers dresses, tops, bottoms, swimwear and accessories on its direct-to-consumer website, www.caracaranyc.com, and through a network of over 200 high-end boutiques and retailers including Bergdorf Goodman, Moda Operandi, Nordstrom, Neiman Marcus, Net A Porter, Moda Operandi, Saks Fifth Avenue, ShopBop, Intermix and Harvey Nichols.

Responsibilities

  • Bookkeeping
    • Maintain accurate accounting records across Cara Cara’s wholesale and direct-to-consumer businesses; prepare and present monthly financials to Management including a detailed general ledger, sales and gross profit statements, advances to vendors, inventory values and P/L
    • Manage monthly close including bank and credit card reconciliations
  • Budget Preparation and Forecasting
    • Coordinate across the organization to project annual budgets for all company activities; monitor burn rate against these budgets and work with management on a quarterly basis to realign as needed
  • Accounts Payable
    • Manage timely wires and bill.com payments to Cara Cara vendors
    • Manage transfers of funds between Cara Cara’s bank accounts, PayPal and Hilldun Corporation to ensure sufficient liquidity for payments
    • Maintain an accurate cashflow projection based on projected AR and expenses
    • Manage payroll twice monthly; adjusting for team additions and departures as needed Coordinate with Cara Cara’s benefits providers as needed to adjust payroll for eligible employees
    • Maintain accurate tax documentation for payments/payroll, managing documentation requests as needed in coordinate with Executive Assistant to Founders
    • Personal expense reports and filing
    • Provide analysis on opportunities for increased payments efficiencies
  • Accounts Receivable
    • Main Point of Contact for all wholesale payments, managing all cash, credit, and factored sales of merchandise and bank reconciliation at the end of each month
    • Daily processing of wholesale Credit Cards, confirming ACH, and wire transfers
    • Daily communication with stores, Hilldun, and Sales reps regarding stores’ credit status to expedite the processing of Purchase Orders
    • Coordination of Factor approval for new wholesale accounts, and where denied, coordination of alternative methods of payment (prepay credit card, prepay wire)
    • Follow up on declined, pending or orders on hold so that accounts are aware of their status
    • Monitor customer credit reports monthly and discuss potential credit problems with Logistics Manager to avoid delayed release of goods
    • Review invoice registers and client risk values within Hilldun portal to ensure we will be paid
    • Marketplace partner invoice reconciliation - reviews monthly sales reports from marketplace partners (ShopBazaar, Over the Moon, Maisonette)
    • Record trunk show and gifting sales reports in coordination with Ecomm Manager
  • RLM Records
    • On-account entries in RLM for credit card transactions, ACH, and Wired amounts (less any fees applied)
    • Maintenance of General Ledger in RLM, ensuring consistency with Quickbooks records Review, dispute, and post all factor chargebacks in RLM
    • Issue credit memos for adjustments that need to be made and apply them to the appropriate invoice in RLM
    • Apply credits/on account receipts accordingly to close out prepay invoice balances in RLM
    • Print end of month factor statements and reconcile that all chargebacks are posted in RLM
    • Bill sold values for consignment reconciliation (invoice the units sold) in RLM
      • Prepay – charge credit cards for units sold
      • Net 30 – submit the value of what was sold to Hilldun for approval and make sure the invoice gets uploaded
  • Tax filing
    • Prepare and file monthly sales tax for New York State and other states as applicable over time
    • Prepare annual tax documentation in coordination with Cara Cara’s tax accountants

Experience:

  • 5+ years as an accountant for a advanced contemporary or luxury fashion brand preferred
  • Bachelor’s degree in Accounting, finance or similar
  • Well rounded knowledge of GAAP
  • Expert knowledge of Quickbooks, proficiency with Quickbooks Online platform
  • Proficiency and advance knowledge in MS Excel
  • Proficiency and advance knowledge in Shopify payments integrations preferred
  • Previous experience with RLM software preferred
  • Strong attention to detail and concise analytical skills
  • CPA or CMA certification a plus
