As a member of the HUGO BOSS Production team, the Production Coordinator partners with NY Sales, Merchandising, International Sales, Global Replenishment & Warehousing to provide sales support & monitor all orders to ensure timely deliveries.

What you can expect:

Responsibilities include, but not limited to the following:

Sample Management
Collection Shipments
o Communicate with International Sales and US traffic department to ensure the clearance of all sample shipments via forwarding agents as well as different courier services.
o Organize samples, swatch cards & other sales tools in the showroom prior to 4 different selling seasons
Photo Samples
o Receive all advertising sample requests from sales & communicate all needs to Germany
o Maintain samples charts to ensure timely delivery. Track and deliver samples to sales

Purchasing
  • Work with sales to place risk buys, zrdc orders to reach minimums
  • Daily maintenance on all purchase orders: adjusting delivery dates based on ex-fty dates, updating faulty units, indicating mode of transport when necessary.
  • Evaluating rejection reports from Germany & updating sales where needed
  • Creating reports as needed during market season (Using BIS & SAP)
  • Monitor and clean out orders throughout each season


Deliveries - Mode of Transport
  • Organize and monitor AIR list
  • Determining mode of transportation through RODEO system in SAP per each supplier


Tracking Production Orders
  • Liaison between Merchandising, Sales and International Sales - Daily communication with International Sales to get tracking details on all shipments to ensure timely deliveries
  • Create delivery status reports to track shipments from supplier, through customs & to our warehouse to ensure timely deliveries to final customers
  • Maintain delivery delays from Germany & communicate to the appropriate sales team
  • Updating delivery status when we receive confirmations from Germany, HBI & suppliers
  • Support all divisions (DOS, Concession & Wholesale) with delivery requests as needed
  • Act as a liaison between sales, merchandising and global operations in order to proactively identify delivery timing needs and ensure global operations is meeting those required ex-factory dates
  • Utilize system reports to provide feedback to upper management on future season deliveries including any known hurdles that need to be addressed based on feedback from the Operations team in Germany
  • Assist in logging & managing key programs / time sensitive items from sales to secure needed transport mode + inbound processing to allow for on-time delivery to relevant wholesale partners
  • Assisting Management with solutions, sourcing strategy, etc. in a proactive manner


Special Projects:
  • In House sample sales
  • Work with jobber to sell leftover merchandise


Your profile:

  • Bachelor's degree
  • At least 1 year of experience in Fashion required
  • Independent, self-motivated & detail oriented
  • Excellent written & verbal communication skills
  • Must be highly organized
  • Ability to prioritize & multi-task in a busy office environment
  • Must work well in a team
  • Strong Work Ethic
  • Analytical skills a plus
  • Proficient in all Microsoft office programs (Excel is a must)
  • SAP & BIS experience a plus
