Job Details

Key Responsibilities:

  • Work across multiple product categories
  • Coordinate all aspects of the production process internally and externally
  • Maintaining a fully updated Critical Path and Delivery schedule
  • See product through from development handover to production delivery to warehouse
  • Arrange and attend Bill of Materials handover and risk assessment with product development, cross checking BOM’s against garments and making sure have all information required for production
  • Coordinate all aspects of raw materials and raw materials stock for production including responsible for ordering raw materials and trims for production, creating, and maintaining raw material trackers for the department, ensuring all shipments are logged and tracked, including stock location.
  • Create and send purchase orders using in house system
  • Attend SMS production fittings with product development teams, as well as design and sales teams as required to become familiar with details of products producing
  • Work alongside production technicians on any amends to garments that impact BOM or CP
  • Vendor and supplier/trade show visits where necessary
  • Creating and maintaining good relationships with Suppliers and Manufacturers
  • Responsible for following up on proforma payments and updating vendors as required.
  • Support the process between Technical, Product Development, merchandising, Production, and logistics
  • Wildlife scientific names and origins are complete and, on the system seasonally
  • Oversee risk assessing fabrics and products in terms of safety, and with an eye on International regulations and Standards
  • Day-to-day administrative tasks as required by production coordinator
  • Supervising Production Trainee and intern, with Production Manager

Critical Path/Delivery Schedule:

  • Maintaining a fully updated Critical Path and Delivery Schedule whilst making sure RLM is always up to date
  • Creating and maintaining trackers for the department, ensuring all deliveries are logged and tracked
  • Closely work alongside vendors on when they will have all raw materials to start production on a style and confirm delivery dates accordingly
  • Chasing bulk deliveries whilst liaising with the technical team regarding the approval pre shipment garments
  • Weekly meetings with production including technical team regarding the status of all styles
  • Work alongside logistics manager on RM and garment shipments
  • Creating ASN’S for garment deliveries into the warehouse

Raw Materials;

  • Key partner with fabric development, working alongside them for seasonal fabric handover, approved print file artworks, fabric testing/mill tech reports and approved fabric swatches
  • Work alongside fabric development team to ensure fabric testing requirements and standards are met. Test reports and certification are organised each season. Along with any additional testing required at production stage and additional testing required by client territories
  • Work alongside Merchandising team and product development team to plan and place seasonal fabric forecast orders including FTS
  • Responsible for placing purchase orders with fabric and trim suppliers using RLM
  • Responsible for requesting and approval of lab dips, strike offs and bulk production fabric approvals, following up on any quality issues.
  • Raw material splits per destination including physical send outs.
  • Maintain raw material stock records at all locations and on in house system RLM.
  • Manual consumption each season and update seasonal stock takes
  • Ensuring all raw materials arrive at vendors according to CP planned dates

Care Labels:

  • Ensuring all compositions are up to date on RLM
  • Oversee creating and ordering care labels

Skills and Experience Needed:

  • A fluent level in English is essential. Additional Languages a plus
  • At least 3-4 years’ experience working as production coordinator at a luxury or high-end Brand
  • Womenswear and menswear experience preferential
  • CMT and FG experience
  • Strong knowledge of production methods, production cycle, fabrics, trims, and garments
  • Strong communicator, knows how to communicate with clarity & precision
  • Excellent written and verbal communication skills with the ability to demonstrate confidence and assertiveness when communicating production requirements, both internally and externally
  • Experience of working with international factories
  • Excellent organizational and time management skills. Attention to detail is essential
  • Self-motivated with the ability to multitask, maintain focus in a fast-paced environment and time manage accordingly.

  • Ability to work well under pressure, and meet critical deadlines

  • Must be flexible, proactive and understand process to follow up all areas of investigation and production
  • Software: Excellent working knowledge of Microsoft Office, in particular an in-depth knowledge of excel is required; experience with RLM or similar systems is beneficial
  • Must be flexible to adapt to changing trends of business
