Primary Purpose: Provide professional secretarial support to VP and Directors within a nominated team(s) and act as bridge for enhancing internal and external communication

The successful individual will leverage their proficiency to

  • Direct secretarial support to our VP and Directors, facilitate communication between Coach Asia, and SE Asia ofices.
  • Handle incoming calls, calendaring & scheduling, maintain address book, email traffic.
  • Create and maintain a paperless filing system
  • Travel arrangements, logistics support and itineraries set up for VP and visitors on the ground.
  • Organization of business meals, business meeting, preparation of meeting agenda, minutes of meeting and other logistic arrangement, e.g. facilities arrangement, ensure proper set up.
  • Prepare expenses reports, submit for CEO'S aproval and keep track the status
  • Prepare correspondence, memorandum and confidential documents
  • Establish relationships with Coach Singapore and counterparts to ensure calendar alignment, proactively identify & troubleshoot schedule conflicts or other issues
  • Communicate with internal departments heads to consolidate information (i.e. monthly visitor(s) to Coach Asia, etc)
  • Manage office renovation / moves
  • Maintain standards program
  • Budget preparation and analysis
  • Invoice coding
  • Maintaining adequae supplies and order as necessary
  • Liaison with building staff, vendors & other departmental and company employees
  • Partner with Singapore office in organizing company functions/events logistics
  • Assist VP in monitoring projects progress / timeline status, preparing status report.
  • Ad hoc projects assignment by VP.


The accomplished individual will possess

  • Degree holder with minimum 10 years experience as an EA to a Schedule Management.
  • FMCG or luxury brand experience helpful but not essential.
  • Highly organized with strong time management, task prioritization & follo-up skills
  • Professional & mature demanor with excellent written & verbal communication skills
  • Strng attention to detail & accuracy
  • Computer proficiency in Microsoft Outlook, Excel, Word and Power Point
  • Abilitiy to maintain high level of business confidentiality
